Development and Alumni Relations (DAR) supports Johns Hopkins' focus on research, teaching and patient care, and its role as a national and global leader in higher education. We create and foster enduring relationships that result in advocacy and philanthropic support for Johns Hopkins University & Medicine; strengthening the institution through partnerships with donors, alumni, volunteer leaders, faculty, students, staff, and patients.

Johns Hopkins University supports a flexible work model which includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of 3 days per week. The manager will confirm the team's core onsite days where the majority/all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.

The Fund for Johns Hopkins Medicine (FJHM) is the dedicated development and alumni relations team supporting the entities that comprise Johns Hopkins Medicine (JHM), including clinical departments, hospitals, satellite clinics, and the School of Medicine. We contribute to Johns Hopkins Medicine's mission of patient care, research, and education through securing philanthropy, building and maintaining donor and alumni relationships, and supporting institutional priorities. FJHM partners closely with institutional leaders, faculty, and clinicians to engage alumni, patients, donors, and prospects in JHM's work to advance medicine and improve the human condition.

The Development Coordinator for Wilmer Eye Institute holds a pivotal role for the development team and is instrumental to our continued fundraising success. The Development Coordinator is frequently the first member of our team to interact with potential and current donors and sets the tone for their interacting with the development office. The Development Coordinator will report directly to the Administrative and Operations Manager. Key responsibilities of this position are: gift processing, acknowledgement letters, fund management, database management, and reporting. The number of sophisticated donors, the fast pace of the office, and complexity of many prospects requires a high level of independent and critical thinking, attention to detail, flexibility, advanced computer skills, and excellent interpersonal communication.

Key responsibilities:

Administrative Support (25%)

  • Build and maintain professional relationships and effectively communicate with patients, visitors, donors, prospects, leadership, department chairs, faculty, administrators, and professional colleagues over the telephone, in person, and in writing.
  • Answering phones, photocopying, ling, organizational needs, and other basic administrative tasks. Checking voicemail and delivering messages to gift officers and others.
  • Work independently, manage projects, and determine priorities. Maintain a high degree of professionalism and confidentiality. Discretion is a priority.
  • Assist Administrative and Operations Manager with all development events including professorships, professional meetings, receptions and Board of Governors meetings for the Wilmer Development office. Represent the Wilmer Eye Institute on the Relationship Management Liaison Group, Coordinator Round Table, and other institutional groups as appropriate.
  • Assist in onboarding administrative staff on procedures and best practices for Wilmer Eye Institute, FJHM, and DAR.
  • Maintain a thorough working knowledge of SAP financial system for Concur expenses.
  • Maintain integrity of data including creating, maintaining and updating demographic information, actions, proposals, and constituent information in a confidential manner while strictly adhering to HIPAA guidelines.

Gift Processing and Database Management (75%)

  • Process charitable gifts to the Wilmer Eye Institute's 174 faculty members across our 9 Divisions, 9 clinics and the basic sciences. Deposit funds into appropriate accounts, and work with divisional finance teams to create new accounts and endowments, as needed. This position requires interaction with faculty, the Johns Hopkins University Treasurer's Office, Development Business Services, and the Office of Research and Sponsored Projects, departmental and division administration and appropriate offices within the Fund for Johns Hopkins Medicine, as well as JHU Development and Alumni Relations central teams.
  • Receive gifts via mail, FedEx, Interoffice, emails/online, phone calls, and fax. Understand the unique differences associated with receiving gifts from each source, and how to handle and process these gifts utilizing the appropriate software including but not limited to Paywire, Johns Hopkins Advancement System (JHAS), Tableau, Sharepoint, and others.
  • Develop and create comprehensive constituent, financial and data-specific data analytics, evaluations and reporting for gift officers to gather and interpret information and data in preparation for Board of Governors meetings, donor meetings, faculty meetings, events, publications, presentations and proposals.
  • Serve as the primary point of contact with the Office of Research and Sponsored Projects to ensure the appropriate processing and recording of philanthropic grants.
  • Develop and maintain an expert knowledge of JHAS (Salesforce) as well as a thorough understanding of development research policies and protocols.
  • Prepare scheduled and ad hoc reports from JHAS for gift officers and faculty regarding faculty engagement, new prospects, and current donors.
  • Assist Sr. Development Coordinator with tracking, reporting and notification process for memorial and honorary donations.
  • Participate in pledge and cash projects, manage pledge reminder collection process.
  • Provide and prepare faculty gift notifications weekly to include a weekly gift/pledge report.
  • Work with gift officers to gather and interpret information and data in preparation for donor meetings, faculty meetings, events, presentations and proposals.
  • Develop and maintain a thorough understanding of development research and gift processing/acknowledgment protocols. Understand the risk management and gift agreement approval processes for DAR.
  • Manage internal financial transfers and resolving accounting discrepancies between CRM and SAP gift accounts. Liaise with FJHM finance as needed.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years related administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

  • Strong computer literacy skills and the aptitude to learn new software. Highly developed organizational skills with the ability to multi-task.
  • Ability to manage and prioritize multiple projects.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to work independently and as part of a team, and ability to maintain a high degree of professionalism and confidentiality.
  • Ability to perform within severe time constraints with the highest degree of accuracy, effectiveness, and diplomacy.
  • Ability to understand workload and time constraints in order to determine priorities based on the needs of the Wilmer Eye Institute and the Development Office.
  • Ability to hold oneself accountable.

  • Willingness to learn multiple data management systems.
