Position Description:

As an Administrative Assistant Sr in the Emergency Medicine Department you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures, under general direction.

Primary Functions

  • Screen telephone calls and greet visitors to resolve complex inquiries.
  • Manage calendars, coordinate meetings, and prepare pertinent agendas or materials.
  • Anticipate and initiate action regarding administrative functions while coordinating and leading projects.
  • Compose correspondence as needed, which may contain confidential information.
  • Create complex workflow charts, spreadsheets, databases, macros, and templates.
  • Create reports, presentations, minutes, letters, memos, and forms.
  • Proofread and format documents to ensure accuracy.
  • Coordinate schedules, meetings, appointments, and travel itineraries and related arrangements.
  • Compile data and information from multiple sources to prepare reports.
  • Process payment requests, requisitions, and invoices
  • Assist in monitoring expenditures.
  • Distribute mail and organize filing systems accurately maintaining records.
  • Assist with department website management, social media development, and IT related requests

Knowledge - Skills - Abilities

Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management.

Organization, time management, interpersonal, communication, and problem solving skills.

Position Requirements:

Appropriate experience may be substituted on equivalent basis

Minimum Required Education: High school diploma

Minimum Required Experience: 5 years of experience

Preferred Education: Bachelor's Degree
