Long Beach, CA - Management - West BSC How will you CONTRIBUTE and GROW? Performs/Provides operational and administrative support with a high degree of accuracy to the WDIV Fleet Department and it functions.

Target Hourly Salary: $30.75 - $40.38

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide operational and administrative support to the WDIV Fleet Department to include regional plants and branches as directed

  • Assist with Warner Fleet Services (WFS) database updates and vehicle record corrections

  • Conduct research for information related to DOT, preventative maintenance, repairs, vehicle inspections or other matters required by WDIV Fleet Dept

  • Query data and run various reports from WFS, SAP, PeopleNet, and other systems as required

  • Generation of routine capital requests (CARs) such as monthly lease buyouts

  • Submit asset status updates such as retirements and transfers to all appropriate POCs

  • Provide administrative support as directed for all WDIV vehicle sales

  • Process International Fuel Tax Agreement (IFTA) documentation to ensure proper filing can be achieved using SAP, ComData, PeopleNet, and VUSION data

  • Collect, consolidate and report monthly mileage data for internal reporting and WFS data updates

  • Collect and consolidate monthly tube trailer fill data for tracking in the WFS database to comply with DOT Special Permit retest requirements

  • Follow up on over 60 day vehicle maintenance purchase orders to minimize fleet accruals

  • Aid with managing monthly ComData Fuel approvals across all of WDIV

  • Support fuel management by sending Comdata User Agreement to location managers for new drivers and assist with fuel card replacement

  • Assist fleet asset maintenance vendors with WFS inquiries and documentation as required

  • Aid vendors, WFS, and WDIV Mgrs in the collection and upkeep of Vendor Insurance and Compliance documentation

  • Provide project management assistance as directed by Fleet team

  • Ability to communicate effectively orally and in writing with working knowledge office practices and procedures, departmental rules and regulations

  • Ability to perform data entry in a computer and extract information from various reports and spreadsheets

  • Ability to read, analyze, and interpret reports, legal and regulatory documents

  • Ability to understand and perform basic arithmetic functions

  • Ability to understand and carry out oral and written instructions and to request clarification when needed

  • Ability to meet and speak with various employee levels and vendors to deal effectively with their questions or problems, seeking assistance when needed

  • Ability to establish and maintain effective working relationships, co-workers, employees and officials in other departments

Required Education

  • High School diploma or equivalent (GED)

  • Excellent customer service and communication skills

  • Computer proficiency with Microsoft Office Suite and ability to learn other systems as required

  • Ability to work independently and under some pressure to meet deadlines
