Brief Summary of Work for this Position |
This mission-critical position provides confidential, executive-level administrative support to the Chief Information Officer (
CIO). In addition, this professional is a member of the core
ITS Management team. We seek candidates with strong technical skills and a passion for improving the lives of students, staff and faculty in a dynamic teaching and learning environment. This position oversees and coordinates scheduling on behalf of the
CIO and provides updates on specified special projects and designated operations that affect the entire scope of program operations. The Executive Assistant must be able to analyze data, solve problems, delegate tasks to subordinates, and interact with the public and various internal and external agencies. It is the Executive Assistant's responsibility to regularly apprise the
CIO of office activities.
This position professionally interprets, evaluates progress, and conveys information and directives to unit and university staff as well as diverse and varied constituents on the CIO's behalf. The
CIO delegates coordination responsibilities of administrative and project management functions to the Executive Assistant. This position relies on personal expertise and judgment to independently make changes to schedules for the
CIO.
This position solicits items for management team meetings, creates agendas, takes minutes, and creates action items with due dates. This position will follow-up on action items to ensure they are delivered on time to the
CIO. This position ensures that 1:1 meetings between the
CIO and the management team are scheduled regularly, agendas shared in advance, and action items identified. This position will also provide administrative support to selected campus committees which include scheduling, meeting agendas and minutes, communication, and end-of-year reporting. This involves coordinating with members of IT Governance and Data Governance Committees to ensure agenda items of all members are included. Organizes and assimilates documents for
UNC System
CIO meetings for the
CIO.
The Executive Assistant independently researches information and integrates information into reports and departmental framework guides at the request of the
CIO. This position may hire and supervise student workers. This position provides direct assistance to the IT Business Officer with human resource-related matters such as scheduling interviews and correspondence with committees and candidates. This position serves as the designated key coordinator for all
ITS keys, schedules meeting spaces, serves as a secondary support person for entering tickets for building maintenance, a surplus of furniture and equipment, leave keeping, coordination, and record-keeping of
ITS mandatory training and electronic door access. |
Minimum Education and Experience Requirements |
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |

- Proficiency with Microsoft Office products
- Exceptional verbal and written communication skills, with a collaborative communication style and negotiation skills
- Knowledge of IT terminology and contracts
