Brief Summary of Work for this Position |
The Work Control Manager plays a pivotal role in leading the specialized administrative functions of the Work Control Team within Facilities Administration. Reporting directly to the Assistant Director of Facilities Administration Work Control and Service Contracts, this position serves as the
AIM subject matter expert for the team. The Work Control Manager is responsible for training campus personnel, facility shops, and external constituents on workflow processes and procedures.
Key responsibilities include overseeing work order management requests received by the Physical Plant, ensuring timely processing by staff. This role demands a high level of customer service, acting as the primary point of contact for all campus requests, and involves providing and monitoring customer care and problem resolution.
Additional responsibilities:
- Develop and maintain operational Work Control policies and procedures.
- Interpret policies and procedures to resolve customer service issues involving AiM transactions.
- Utilize uShop, Banner, and AiM systems to analyze and resolve complex customer issues.
- Create and analyze reports for open work order issues, assigning them to staff for resolution.
- Manage and organize data storage and report retrieval in AiM.
- Oversee the Keytrak System for external contractors and UNCW departments.
- Monitor phone, walk-in requests, AiM work order queue, and KeyTrak to ensure proper coverage and usage.
- Manage and provide problem resolution for the Dig Permit and Key Request Processes on campus.
*This position has been designated as mandatory personnel for the University and may be required to report to work during adverse weather conditions even though the University may be operating on an alternate schedule. |
Minimum Education and Experience Requirements |
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Preferred education, professional skills and experience |
- Experience in Facilities Management or a Work Control environment, preferably higher education.
- Experience in AiM, UShop, Banner, or KeyTrack
- Exceptional written and verbal communication.
- Superior Organizational skills.
- Microsoft Office Suite, web and database experience.
- Ability to analyze and interpret customer requests and descriptions of work completed.
- Accurate and detail-oriented.
- Excellent customer service skills.
- Knowledge of trade/shop capabilities.
- Ability to plan and supervise the work of others.
- Ability to adjust work loads and priorities to meet changing environments.
