Description The Sr. Director of Gift Administration & Development Services provides oversight and strategic direction for all areas Gift Processing. The Sr. Director oversees a team who are responsible for the execution of strategies for continuous quality improvement in the delivery of services to, and communication with, donors and staff, and is responsible for the Foundation's data integrity and quality control initiatives. The Sr. Director regularly collaborates with the Data Services and Finance Teams on matters of systems integration, financial reconciliation and data quality to ensure timely and accurate recording and distribution of gifts into funds. These objectives are accomplished through the development and careful monitoring of performance metrics, best practices and quality control systems and mechanisms. This role champions and works across the Foundation with respect to data standards, data integrity and data governance projects.
Qualifications

Minimum Education
Bachelor's Degree (Required)

Minimum Work Experience
12 years (Required)
2 years experience with Blackbaud's The Raiser's Edge, specifically around data entry, gift batch and coding configurations (Preferred)
2 years experience with data quality and data integrity initiatives, including duplicate analysis and other quality control checks on source data (Preferred)

Required Skills/Knowledge
Should possess strong working knowledge of Excel and be comfortable synthesizing and analyzing large amounts of data.
Must have strong problem solving skills with an ability to proactively identify issues and offer solutions in a collaborative way.
A high level of professionalism, compassion, creativity and integrity coupled with an ability to earn the confidence of a wide range of internal and external constituents.
Capable of adapting to a rapidly changing environment through use of strong time management and organizational skills.
Must demonstrate an ability to handle confidential information with discretion.
Demonstrated leadership and project management skills.
Experience in developing strategy on advanced data quality checks and ongoing maintenance plan for CRM data.
Fluency with donor databases with a preference for experience with Raiser's Edge.

Functional Accountabilities
Execution of Vision and Strategy into Optimal Organizational Performance



  • Develops and implements annual operating plan; provides direct supervision to direct reports to ensure effective plan execution and focus of entire team on key objectives.


  • Develop and implement an annual operating plan for data integrity and data governance


  • Continually monitors department processes for opportunities to streamline operations and create efficiencies, including the oversight of the Foundation's keying and caging vendor; Develops and implements strategy for realizing these opportunities.


  • Develops and oversees Data Integrity and Gift Administration budget. Provides training and professional development opportunities to Gift Team.


  • Develops system of metrics for the Gift Team as related to accuracy of entry and timely receipting.


  • Creates and executes team processing strategies for high-volume periods (fiscal and calendar year-end) and special giving campaigns.


  • Ensure that process for entering and reporting grants are consistent and accurate.


  • Oversees adjustment reporting process to ensure that journal entries are accurate and sent to Finance according to established timeline.


Data Integrity, Quality Control and Management



  • Coordinate with Data Services to design and implement advanced data tools to further automate processes and workflows for Foundation departments.


  • Highlight discrepancies and inconsistencies with departments and teams for timely resolution.


  • Develop system and infrastructure to ensure maximum quality and outcomes of requests.


Collaboration with Internal and External Departments



  • Works closely with Data Services staff to provide solutions and implement new processes and procedures for the Foundation; implement best practices related to capturing biographical and gift information during data entry.


  • In collaboration with Data Services, provide leadership and direction for data integrity and systems integration efforts, such as large-scale clean-up initiatives, workflow management and the implementation of strategies to consolidate, automate, and increase accuracy of gift entry.


  • In close communication with the Foundation's Finance Team, oversee structural integrity of all gift coding functions in RE pertaining to the monthly and yearly close, including the management of fund and appeal records, holding fund balances and correct gift adjustment processing.


  • Ensures timely response of all Gift Adjustment requests by the Gift Processing team and directly handles any escalated or priority items when required.


  • Attends event and solicitation kick-off meetings to ensure all Gift Processing needs are met and assess any on-site support requirements.


  • Collaborates with Stewardship department on gift matters concerning donor acknowledgement letters and tribute notifications.


Policy Development and Quality Control



  • Establishes, documents, and updates departmental policies and procedures as related to donation processing and systems.


  • Implements training programs and administrative systems for gift processing and management for Development staff.


  • Ensures that all IRS guidelines pertaining to the processing and receipting of donations are met; Serves as departmental expert on IRS guidelines and CASE reporting standards.


  • Stays abreast of new rules and regulations around taxation, PCI compliance and other security and confidentiality measures and best practices; Implements and communicates new departmental policies as necessary.


  • Supervises Quality Control measures for accurate gift coding and reporting, including the development and implementation of a data integrity schedule.


  • Audit and review processes and policies to ensure that policies are updated and processes are accurately documented and followed.


  • Reviews language for adherence to donor intent ex: PFP language and gift restrictions to flag for compliance concerns; communicates said concerns with appropriate parties.


Program and Service Administration and Implementation



  • Ensures compliance with organizational and departmental policies, procedures and regulatory standards.
