Job Summary

Under direct supervision of the Practice Manager and guided by the protocols of the Orthotic and Prosthetic Department, the Administrative Assistant II (Receptionist) functions as the primary in-person contact for patients requiring care at the Orthotic and Prosthetic clinics. Responsibilities include scheduling, check in, collecting co-payments, registering patients, verifying insurance/eligibility, requesting insurance checks from authorization team, collecting forms from patients, and explaining financial information. The Administrative Assistant II (Receptionist) is knowledgeable about UCSF's appointment and patient registration system (Apex). The incumbent will also obtain prescription information from patients, and must be able to abstract clinical data from medical records to answer insurance questions.

The individual works as a team member with other practice staff and consistently projects a professional and courteous demeanor. The Administrative Assistant II is required to comply with the Medical Center House and Telephone Standards. Exemplary customer service is essential, as this individual is the first point of contact for a patient calling the clinic. The Administrative Assistant II must treat all patient encounters and information with discretion and confidentiality per HIPAA.

Department Description

The Department of Orthopaedic Surgery is responsible for the department's academic, teaching, patient care professional services and research activities under the UCSF School of Medicine (SOM). The department has over 250 academic and staff personnel at multiple sites (University of California - UC, Mt. Zion, Mission Bay - MB, San Francisco General Hospital - SFGH, and San Francisco Veterans Affairs Medical Center - SFVAMC). The Orthotic and Prosthetic Department provides joint patents care with numerous services across the UCSF health care system.

Required Qualifications


  • High school graduation and three years of related administrative experience; or an equivalent combination of education and experience;
  • Proficient keyboard and computer skills, including but not limited to, Microsoft Office.
  • Proven ability to handle multiple projects simultaneously and be able to set priorities that accurately reflect relative importance of job responsibilities.
  • Pleasant, calm, friendly demeanor. Flexible, good interpersonal skills, ability to keep a professional manner even under pressure.
  • Proven ability to recognize and resolve problems, and to assess need for supervisor intervention.
  • Proven ability to work both independently and in teams; be self-directed and have the ability to follow through on specific assignments with accuracy and minimal direction.
  • Proven dependability
  • Strong verbal communication skills. Proven ability to communicate effectively over the telephone and in person with vendors, peers and clinicians.
  • Strong working knowledge of insurance benefits and terminology, with the ability to explain insurance benefits and payment responsibilities to patients.
  • Demonstrated courtesy and overt helpfulness in all interactions.
  • Experience in a health-related, clinical front desk setting

Preferred Qualifications


  • Basic knowledge and ability to use anatomical terminology
  • Previous experience working with Epic/Apex
  • Fluency in Spanish
  • Working knowledge of the discipline of Orthotics and Prosthetics
