Payroll Specialist
We are currently seeking to fill our Payroll Specialist position at the Philadelphia campus with a highly qualified and passionate individual.
Job Title: Payroll Specialist Department: Financial Operations Location: Philadelphia Campus Status: Exempt Reports to: Director of Financial Operations Position Summary The Payroll Specialist ensures accurate and timely payroll processing for PCOM, working closely with Human Resources, other departments, and an external service provider. This role also manages daily cash reporting and provides backup support for vendor maintenance and cash postings. Essential Duties and Responsibilities Payroll
- Timekeeping System Administration
- Train and update timekeepers, supervisors, and managers on system processes.
- Research and resolve timekeeping system data issues.
- Manage the interface between the timekeeping and payroll systems.
- Payroll Processing
- Ensure accurate payroll transactions, including salaries, benefits, garnishments, and taxes.
- Verify new employee payroll setups, including student workers and federal work-study participants.
- Process instructional vouchers and special payments, ensuring compliance with PCOM policies.
- Review and verify employee rate, hour, and deduction changes.
- Stay updated on federal and state payroll regulations.
- Payroll Deduction Processing
- Manage deduction payments (e.g., garnishments, insurances) through the eProcurement system.
- Handle online payments for employee child support garnishments.
- Reporting
- Prepare and submit accurate government and employment reports (e.g., IRS 941, state filings, W-2s).
- Meet all payment and reporting deadlines.
- Cross-train with staff to ensure payroll backup capabilities.
Cash Reporting
- Prepare and distribute daily cash reports from the online banking platform.
- Provide backup support for daily cash postings and vendor maintenance.
Other Duties
- Perform additional tasks as assigned.
Education, Training, & Experience Required
- Integrity, sound judgment, excellent organizational and communication skills.
- Proven reliability and ability to meet deadlines.
- High level of confidentiality when handling sensitive information.
- Proficiency in payroll analysis, reconciliations, and related regulations.
- Detail-oriented, accurate, and able to adapt to changing priorities.
- Strong knowledge of payroll software systems, taxes, laws, and regulations.
- Proficiency in Microsoft Office applications and financial accounting systems.
- 3-5 years of payroll processing experience.
Preferred
- Experience in payroll and accounting within higher education or nonprofit organizations.
- Expertise in Banner and Workday software.
- Familiarity with the Kronos timekeeping system.
- Bachelor's or Associate's degree.
Certifications, Licenses, Registrations
- Payroll certification preferred.
- Membership in PayrollOrg (formerly APA) preferred.
Salary Range: $50,715 - $68,548 The referenced salary range is based on PCOM good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
