Founded in 1953, Hudson Valley Community College (HVCC) located in scenic Upstate NY is a multi-campus College with locations in Troy and Malta New York. Program Assistant, Wellness Center HV-CS-112224 In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. RESIDENCY REQUIREMENTS: Candidates must have been legal residents of New York State for at least FOUR months immediately preceding the date of the test. Pursuant to subdivision 4a of Sec. 23 of the Civil Service Law, preference may be given to successful candidates who have been legal residents of the municipality to which the appointment is to be made for at leastFOURmonths preceding the date of the written test. This is a provisional appointment. Selected candidate will need to sit, pass and be eligible on the next available Rensselaer County Civil Service Exam for Program Assistant in order to be considered for permanent appointment. MINIMUM QUALIFICATIONS: Associate's Degree from a regionally accredited or New York State accredited college (OR) High School Diploma or possession of a High School Equivalency Diploma and two years of clerical experience in a position involving public contact or customer service functions in a non-retail setting (OR) An equivalent combination of training and experience as defined by the limits above. DUTIES AND/OR RESPONSIBILITIES: The Program Assistant performs work under the direct supervision of the department head or program director. Supervision may be exercised over the work of clerical staff. Reports to the director, department head or program director and performs the following duties: * Answer the telephone, and greet visitors, respond to questions concerning program, policy or procedures, assists with scheduling appointments, checking in, and locating other services. and refer most complex technical questions to appropriate staff member; responds to voicemails. * Open, review, sort and distribute mail in accordance with staff assignments. * Review incoming email and other correspondence and reports to determine their significance, and responds on behalf of the office or refers to appropriate person for reply. * Gather data relevant to complex or unusual inquiries in order to provide a basis for a reply or a * Design, set up and maintain files of correspondence and documents. * Schedule meetings, appointments and maintain calendars. * Make travel arrangements and prepare travel vouchers. * Assemble and coordinate background materials for meetings and conferences and prepare summary of conclusions. * Transmit instructions from supervisor to appropriate staff orally, in writing or electronically and follows up to see that instructions are followed and deadlines met. * Prepare reports using statistical and narrative information. * Orient staff to office and agency procedures. * Operate alphanumeric keyboard to produce correspondence, reports, forms, charts and other material. * Maintain inventories and requisition office supplies and utilize procurement process. * May supervise clerical staff. * Attend trainings as appropriate to job duties. * Perform other related duties as may be assigned. This is a full-time 12-month, 40-hour work week position with an hourly rate of $22.5049.
