ABOUT THE JOB (JOB BRIEF)

Full Time Position with an Excellent Comprehensive Benefits Package

Location: This Hybrid role requires working in-office 2 days per week (after training) at our office in Brooklyn, OH. The training period is, at least, for the first 2 months of employment and requires in-office attendance Monday - Thursday each week.

Hours: Monday - Friday, 8:00am - 5:00pm ET, with flexibility to work over-time or outside of these hours, per business needs.

POSITION SUMMARY

The Mutual Funds Receipts & Distributions Senior Specialist supports Key Private Bank (KPB) and IA in the free movement of mutual fund securities into and out of accounts custodied by Key Bank and housed on the Global Plus system. The Senior Specialist is responsible for Mutual Fund Account to Account transfers and processing of Cost Basis received from contra firms.

The Senior Specialist must have an overall industry understanding of these instruments. This key team member coordinates the collection and delivery of mutual fund assets for KPB and IA trust and custody accounts as instructed by the Trust Officer and/or Trust Distributions analysts and ensures proper posting of transactions to the accounts.

This position ensures that mutual fund assets are received as expected and that transactions are properly posted to the account to reflect the receipt of those assets and the correct taxlots. The Senior Specialist also ensures timely and accurate communication with the Line of Business on collection or distribution status and for posting of proper transactions to reflect required adjustments to taxlots.

PRIMARY JOB FUNCTIONS

  • Analyze and coordinate the collection of mutual fund assets for new and existing KPB and IA trust and custody accounts. Analyze financial statements to identify mutual funds involved and proper cost basis for assets being collected. Analyze instructions for completeness. Determine appropriate means to effect transfer of the securities.
  • Receive instructions from Line of Business or the Distributions team for delivery and transfer of securities. Determine proper methodology for delivery of securities. Facilitate automated transactions for asset receipts, distributions and adjustments. Where necessary, post manual transactions to accomplish specific needs.
  • Communicate issues with activity with the Line of Business using system and industry knowledge and propose a plan for resolution.
  • Research any transaction rejects. Communicate with all interested parties and propose plan for resolution of the issue.
  • Research depository position differences. Communicate with all interested parties and propose plan for resolution of the issue.
  • According to department procedure and in accordance with Service Level Agreements, proficiently complete all processes for the following types of transactions for open end mutual funds: Asset Receives, Distributions, Transfers between Accounts, Taxlot Adjustments, Gifts, and Cost Basis updates.
  • Construct appropriate and professional communications to business partners and external parties, as required by the procedures for the action. Communications may be oral or written and must reflect positively on Key.
  • Understand and develop knowledge of and relationship with counterparties.
  • Handle phone inquiries from external parties regarding actions.
  • Meet performance objectives for accuracy and timeliness in completing actions. Successfully prioritize workload of various types of activities with varying service level agreements.
  • Actively participate in department projects and efforts to increase efficiency and improve service.
  • Contribute ideas for process and service improvement appropriately.
  • Review and revise written procedures and workflows
  • Perform Quality Check of coworker's files within established timeframes
  • Participate in regression testing and release updates for Global Plus and Global Office.

REQUIRED QUALIFICATIONS

  • 2 or more years of mutual funds, investment, back-office operations experience preferred
  • High school diploma or equivalent required; Bachelors degree in Business or Finance preferred
  • Excellent verbal and written communication and interpersonal skills
  • Strong attention to detail
  • Ability to work independently with limited supervision
  • Digital Literacy: Knowledge of Global Plus, Global Office, SharePoint, MS Teams, Outlook, Microsoft Office
  • Prior experience in trust operations preferred
  • Proven experience and success in a team environment
  • Proven problem resolution skills
  • Excellent organizational skills
  • Ability to manage multiple priorities
