Position Description:

The Department of Psychiatry and Behavioral Medicine is seeking an Education Program Coordinator III to join our Central Wisconsin (Wausau) Residency Education Team. The Education Program Coordinator is responsible for the daily operations and administrative management of the program with minimal supervision. The Education Program Coordinator will report to the Education Program Manager and will work together with the entire Central Wisconsin Residency Education Team and the Sponsoring Institution to support all trainees and program efforts. The role is critical in ensuring that the program runs smoothly and remains compliant with accreditation standards.

Primary Functions

  • Program Operations: Manage day-to-day program activities and provide administrative reinforcement to the Program Director and Sponsoring Institution. Including such things as assisting with curriculum development, program planning, and evaluation processes.
  • Resident Coordination: Oversee and independently execute recruitment, onboarding, graduation, and scheduling of residents. Track progress, milestones, and compliance with training requirements. Provide mentorship and guidance, manage leave, support license and DEA process, oversee collection of rotation and program required documents, and manage schedule requests. Liaison between residents, fellows, faculty, and administration.
  • Accreditation Management: Ensure the program adheres to accrediting body requirements and standards. Assist in preparing for accreditation site visits and reviews, develop reports, and maintain appropriate documentation and records.
  • Budget Oversight: Prepare and manage the program payroll notifications and/or project budgets, tracking expenditures and resources. Identifies, troubleshoots, resolves discrepancies, and processes and provides reports to the department and Institutional bodies.
  • Curriculum Scheduling: Coordinate educational activities, rotations, and conferences in collaboration with faculty.
  • Service to Associates: Serve as a member and leader of the education team and be the primary contact for the program liaising with those directly associated with the program.
  • Data Management, Collection, and Reporting: Create, collect, and report program data, including evaluations and duty hours. Contribute to the implementation of curriculum and evaluations. Schedules evaluations and teaching sessions. Maintain databases and train Program Directors, residents, and faculty on how to utilize programs.
  • Policy Implementation: Exercise independent judgment in applying and interpreting program policies.
  • Continuous Improvement: Lead program improvement efforts and participate in strategic planning.

Knowledge - Skills - Abilities

  • Experience working in educational administration and/or office administration.
  • Academic health care setting preferred.
  • Excellent working knowledge of computers and associated software, including proficiency in Microsoft Word, Excel, Access, Outlook, and Adobe Acrobat software.
  • Experience planning, scheduling logistics, securing resources, coordinating, and executing support details for events, meetings, conferences, etc.
  • Exercise excellent judgment and skill in handling sensitive and confidential matters.
  • Effective verbal and written communication skills, independent problem-solving and analytical skills, attention to detail and organization.
  • Knowledge in New Innovations, Thalamus, ERAs, and/or ACGME

Appropriate experience may be substituted on equivalent basis

Minimum Required Education: Bachelor's degree

Minimum Required Experience: 5 years

Preferred Experience: ACGME, Residency Programs, New Innovations, Thalamus
