Position Function
Coordinates functions of the department and assists Department Chairperson, faculty, and students in completing departmental, college, and university goals.
Minimum Education
Over one year of secretarial, office organizational, or related training, or education beyond high school or equivalent.
Minimum Experience
One or more years of office organizational, secretarial or related experience.
Minimum Other
Authorization to work in the US Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.
Preferred Education
Bachelor's degree
Preferred Experience
One or more years of university or academic office experience.
Preferred Other
Position Title(s) Supervised
Student assistants.

Job Duty
Supports department Chairperson regarding regular reports, special projects and miscellaneous duties, including assisting with university reports, preparing department documents, and scheduling university related appointments.


Ranking 2
Job Duty
Maintains departmental records, personnel files, and databases and maintains department electronic filing system and file sharing to ensure compliance with university regulations.

Job Duty
Maintains budgetary records for all department accounts, including monitoring and reconciling departmental budgets, submitting online purchase orders, processing reimbursements, and creating and maintain pre-approval and expense reports for travel.

Supervises and directs student assistants, including providing orientation and training, planning and delegating work assignments, creating work schedules, and verifying timesheets. Supports other employees, such as graduate assistants and supplemental instructors.

Job Duty
Assists with class scheduling, such as creating drafts, completing required forms, assigning spaces, and assists the Chairperson in creating new or revising existing courses and programs. Assists students with scheduling as required, such as providing information of department programs and classes and providing overrides as required.

Oversees and manages office operations, such as preparing reports, documents, communications, and presentations; communicating and collaborating with other university department and units; and organizing and planning department meetings and events.

Serves as point of contact for the department, receiving office visitors, answering phone calls, providing information, or directing inquiries to appropriate departments. Assists the chair in communication with department advisory board.
