Student Success and Well-Being Office of Undergraduate Admissions:

The Office of Undergraduate Admissions supports the university in meeting its strategic enrollment goals and fulfilling the UCF Strategic Plan. It is responsible for coordinating the identification, recruitment, admissions and enrollment of all undergraduate first-time-in-college, transfer, non-degree, dual enrollment, early admission and non-Florida public institution transient students. The office leverages the UCF brand to market, communicate and engage with broadly diverse, talented, and academically qualified students who will enrich our community and achieve academic and personal excellence. The Office of Student Financial Assistance is dedicated to supporting UCF's mission and goals through the efficient delivery of student aid. The office provides UCF students with a comprehensive offering of financial assistance options to support student success and the attainment of a university degree.

The Opportunity:

UCF's Student Success and Well-Being Office of Undergraduate Admissions is currently accepting applications for an Administrative Coordinator II. This role provides essential administrative and operational support to the Offices of Undergraduate Admissions and Student Financial Assistance. This position works under the supervision of the Director of Undergraduate Admissions for Communications and Visitor Engagement and works closely with the Directors of Recruitment and External Relations, Operations and Technology, and Student Financial Assistance. The successful candidate will contribute to the university's recruitment, communication, and student support goals by streamlining administrative workflows, managing resources, and coordinating projects with internal and external partners.

This position/classification may be moved at management's discretion within the Division of Student Success and Well-Being to a commensurate level position as determined by the Senior Vice President of Student Success and Well-Being or his/her designee.

Responsibilities:

Facilities Management & Property Oversight:


  • Serves as building manager and facilities scheduler for the Duke Energy UCF Welcome Center.

  • Manages security access and records, including electronic keys and door schedules.

  • Monitors security systems, including access control and surveillance software.


Inventory & Asset Management:


  • Tracks and maintains inventory and coordinates fulfillment requests for recruitment marketing materials and office supplies.

  • Supervises two student assistants for inventory-related tasks.

  • Coordinates intra-university asset sharing and manages uniform inventory for staff and student workers.

  • Oversees disposition of property, equipment and other assets.

  • Oversees the preservation and storage of archives and personnel files, and conserves, maintains and stores records for minimum retention periods as determined by state law.


Appeals & Student Inquiries:


  • Processes admissions appeal requests and manages communications related to appeal decisions.

  • Responds to inquiries from students, school counselors, and other stakeholders.


Staff Support & Onboarding:


  • Assists in posting job positions, scheduling interviews, and onboarding new staff.

  • Facilitates access and training for call center agents and oversees the hiring process for student employees.


Budget and Fiscal Support:


  • Manages administrative budget and facilitates purchases of departmental assets and supplies.

  • Oversees maintenance requests, billing, and liaison duties with UCF Facilities, Landscaping, Postal Services, Telecom, and other partners and external vendors.

  • Oversees contracts, scheduling, record-keeping, and maintenance for department vehicles and golf carts.

  • Reconciles fee invoices and travel-related expenses for fleet vehicles.


Administrative Support:


  • Manages requests directed to leadership within Enrollment Planning & Management.

  • Coordinates mail delivery and pickup.


Additional Duties:

  • Performs other tasks as assigned by department directors to support the division's goals.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • Experience providing administrative support, facilities or inventory management, or project coordination in a higher education or student support setting, including program planning or development and fiscal and human resources processes.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).

  • Familiarity with administrative software like PeopleSoft and Workday, teleconferencing platforms like Zoom, or access control systems like DNA Fusion.

  • Excellent analytical, organizational, multitasking, problem solving, written, and verbal communication skills. Competence in handling confidential documents and student records.

  • Demonstrated ability to supervise and train student assistants or similar personnel.
