Job Summary

Responsible for managing the administrative operations of a school, OR a medium to large academic department, OR several small departments within a college, OR a medium to large non-academic department. Typically includes all or most of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and / or human resources. Manages a professional staff, typically large, and / or comprised of professionals in various fields. Assumes accountability for decisions made by subordinates. Performs long and short term planning for function. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules.

The Division of Gastroenterology at UCS Health is a large subspecialty division in the Department of Medicine. Divisional activities include patient care, teaching, and research at the UCSF Parnassus Medical Center as well as the Mt. Zion, Mission
Bay, ZSFG, St Mary's, St Francis, and VAMC affiliated campus sites. The division has a total of 180 personnel, including 42 full time faculty, 26 fellows, 9 administrative support staff, 48 research personnel, and 6 volunteer clinical professors. Teaching includes two ACGME-accredited fellowship programs and two non-ACME fellowship training programs, including Gastroenterology and Advanced Liver Transplantation, as well as Advanced Endoscopy and IBD. Annual expenditures total ~$36M.

The Division Manager (DM) reports to the Division Chief and the Associate Chair for Administration and is directly responsible for the operations of the division. In partnership with Chief and faculty leadership, the DM is responsible for developing short- and long-term needs assessments to appropriately support the division's goals and missions. The DM works closely with the Chief to facilitate effective decision-making processes. The DM plans, organizes, and directs activities to ensure operational effectiveness, including financial management, academic faculty and staff personnel administration, clinical operations, funds flow and wRVU management, research administration, TI services, and space and facilities management. The DM has responsibility for the administrative and financial relationships of the division with the departmental leadership and other UCSF units. The DM is responsible for implementing and carrying out institutional policies &procedures, and best practices as they pertain to compliance and internal controls. The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $105,900 - $206,300 (Annual Rate).

Department Description

The Division of Gastroenterology at UCS Health consists of 124 faculty, fellows, and staff whose work is grounded in a deep commitment to the highest standards of clinical care and teaching, as well as research leading to new approaches to the prevention, diagnosis, and treatment of diseases. Required Qualifications


  • Bachelor's degree in related area and at least 6 years of progressively responsible academic and financial management experience, encompassing financial management, strategic planning and organizational development, clinical practice management, and human resource management and/or equivalent experience/training.
  • At least six years of experience hiring and managing high performing employees.
  • Broad knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management; personnel management of labor contracts) and personnel policy.
  • Knowledge of generally accepted accounting policies and procedures. Ability to prepare and present complex quantitative analyses, including financial projections and budgets is desired.
  • Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll.
  • Excellent financial and analytical skills, including a demonstrated understanding of the concepts of internal controls and the methods of evaluating internal control systems.
  • Broad knowledge of common organization-specific and other computer application programs.
  • Proven ability to organize department work functions in an efficient and effective manner; strong work ethic
  • Proven ability to work collaboratively with other stakeholders.
  • Demonstrated management and conflict resolution skills to effectively lead and motivate others.
  • Demonstrated, exceptional planning, problem solving and decision-making skills; demonstrated ability to effectively persuade and negotiate results in complex situations.
  • Proven skills to quickly evaluate complex issues and identify multiple options for resolution.
  • Skills in organization and customer service to effectively manage multiple important priorities. Independent and critical thinking paired with strong skills in teamwork and use of judgment in determining priorities and what decisions need to be moved to a higher level.
  • Strong verbal and written communication skills; ability to influence/persuade all levels of staff.
  • Excellent judgment and superb interpersonal skills, strong verbal and written communication skills.
  • Familiarity with inpatient and outpatient clinical practice operations.

Preferred Qualifications


  • Graduate degree in business, healthcare or related field.
  • Familiarity with campus and university on-line systems, federal and staff funding agency requirements, state and federal human resource regulations, space and equipment inventory rules and regulations, campus internal audit rules and regulations, the campus business and finance bulletin, academic personnel manual, school and department clinical compensation plan, clinical practice rules and regulations, and campus expenditure rules and regulations.
  • Familiarity with policies and programmatic guidelines for ACME training programs and associated funding, institutional guidelines on salary setting for trainees, stipend payments, and the appointment process for al trainees (ACME fellows, non-ACGME fellows, and postdocs).
