Contract/Customer Coordinator

Description

Primary Function:

A comprehensive approach to contract management monitoring all military and commercial projects with respect to contract fulfillment, correspondence, costing information, quoting, negotiating, adherence to terms and conditions, and returned material reports. Accountable for the preparation of proposal information such as costs, labor plans, and schedules. Serve as the primary point of contact for the customers, addressing and facilitating all customer-facing needs and requirements.

Major Responsibilities:



  • Prepare and submit monthly per contract Critical Items Reports (CIR's), Document Control Index (DCI)/Program Plans, manufacturing charts, drawing lists, Certification Data (CD) sheets as required by the contract.
  • Follow up on other contract requirements including contract meetings, quality assurance submittals, documents, Information to Seller (IS) / Procurement Advisory (PA) acknowledgements and comments.
  • Prepare and submit shipment memos, ensure that all shipment documentation is requested / received, track serial numbers with destinations, billed amount, and documentation.
  • Provide proposal information including costs for new orders, manufacturing plans, schedules, and other necessary information.
  • Review terms and conditions, administrative requirements for adherence and for any changes.
  • Prepare customer correspondence, arrange meetings and other communications.
  • Generate information for forecasts and provide comprehensive information to assist in site level forecasts and planning.
  • Take the lead in all customer negotiations, proposals, and visitations.
  • Perform related duties as needed / assigned.



Contacts:

Internal: Frequent contact with all levels of manufacturing / production, engineering, accounting personnel to obtain information. Position requires ordinary courtesy and tact in dealing with internal personnel.

External: Daily contact with all levels of military and commercial customers requiring tact, resourcefulness and working knowledge of products, practices, and procedures.

Supervision Received:



  • Supervisor: Director of Operations
  • Supervision Received: Broad objectives as outlined. The nature of the work is such that it is performed primarily on own responsibility after assignment. Considerable choice of method to meet objectives.



Supervision Exercised:



  • Positions directly supervises: zero
  • Number of employees to whom you regularly assign work: zero



Knowledge:



  • Bachelor's degree with a major in Business or Engineering required. Additional course work in contract administration helpful.
  • Minimum of three months experience in contract administration, government setting preferred.
  • All communication skills required to manage customers and contracts.
  • Willingness to travel as needed.



Salary: $75-85K
