Summary of Job Duties:Summary of Job Duties
*Acts as first point of contact for the Division of Workforce Education and Training, manages day to day office duties such as but not limited to greeting visitors, answering incoming phone calls and emails, answering questions and providing information upon request to visitors, faculty, staff, and students, manage incoming and outgoing mail, assist customers with program application/registration, provide non-credit course packets/documents. Maintains and orders office supplies.
*Serves as point of contact for division faculty managing call ins, class delays and cancellations, and other related tasks as directed.
*Maintain databases and records to gather required data for reporting, including but not limited to, student information, workforce student management system and records, and creating required reports for internal use, grants, and state requirements.
*Responsible for updating the college catalog and other literature related to the division making certain the information provided is accurate and updated in a timely manner. Ensures updates are made to division documents such as syllabi, plans of study, and degree completion plans.
*Serves as budget specialist, expense date entry specialist, as well as other roles. Also enters division related requisitions in the Workday operating system.
*Assists in organizing and preparing for departmental advisory meetings, attends and record meeting minutes. This may require evening work on occasion
* Assist with proctoring certification exams for short-term training courses.
*Assist in communications for GBP-AKD Training Center.
*Reviews, maintains, scans, and indexes documents into workforce student management system and other electronic systems.
*Develop and perform quality checks on storage of student data to ensure accuracy and efficiency of scanned documents.
*Performs other duties as assigned. Qualifications:

MINIMUM QUALIFICATIONS:

  • The formal education equivalent of an Associate's degree in public administration, general business, or related field.

  • A minimum of three years of practical work experience in an office setting

Other job-related education and /or experience may be substituted for all or part of these basic requirements upon recommendation and approval of the Chancellor.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree in public administration, general business, or related field.

  • Two years of specialized training in general office work, including Microsoft Office Certifications - Word and Excel, Access, Docubase, and Workday computer systems

  • Able to communicate effectively both orally and in writing to individuals and large groups.

  • Proficient in the use of computer software and applications, such as but not limited to, Microsoft Word, Excel, PowerPoint, Outlook, and Access.

  • Knowledge of office management principles, methods, and procedures.

  • Able to perform basic research, analyze information and prepare reports in a logical and informative manner.

  • Able to problem solve, organize and prioritize work, multi-task, and be flexible and accepting of change.

  • Able to work independently and cooperatively with a team to achieve the mission/goal.

  • Able to work effectively with people of various cultural backgrounds.

  • Knowledge of planning, research, and analysis techniques and procedures.

  • Knowledge of basic accounting principles.

  • Ability to research, prepare, and present comprehensive written and oral reports.

  • Ability to organize meetings and workshops.

  • Able to lift and move objects that may weight up to 25lbs.

Salary Information:

Salary Range: $32,000 to $35,000
