Chemonics seeks an Operations Associate to support the Latin America and Caribbean (LAC) business unit. The LAC portfolio includes work in Colombia, Mexico and the Northern Triangle, and Peru, and covers a range of technical sectors, including democracy and governance (D&G), environment and natural resources (ENR), and economic growth and trade (EGT). LAC's forward market also includes work in Central America focused on D&G, ENR, and EGT. The operations associate provides general management and operational support. The associate is responsible for contributing to division resourcing and staff engagement, developing communications, planning meetings and events, and supporting corporate and divisional initiatives. They will contribute to administrative and operational tasks as necessary to support the operations team and the senior vice president. **This role requires on-site work in our Washington, DC office location as part of our hybrid, flexible work structure

Responsibilities:

Operations and Communications

  • Ensure a smooth onboarding process by facilitating divisional orientation sessions, liaising with IT and other support units, and serving as a resource for new hires.

  • Draft divisional communications, including newsletters, meeting agendas, and other ad hoc communications.

  • Contribute to the maintenance, review, and submission of financial tools, approvals, and other corporate requests with an emphasis on accuracy, efficiency, and compliance.

  • Propose and implement solutions and targeted engagement activities designed to increase staff engagement.

  • Support assigned divisional recruitment, including screening candidates, conducting interviews, completing reference checks, and serving as a point of contact for hiring managers throughout the recruitment process.

  • Proactively support staff through periodic check-ins by providing guidance, targeted assistance, and addressing needs and/or gaps. Elevate questions or concerns to manager and/or director as needed.

  • Update divisional and corporate level documents regularly, including organizational charts, listservs, Teams channels and SharePoint pages.

  • Manage office space and equipment requirements, coordinating with relevant divisions and departments as appropriate. Coordinate with internal stakeholders to determine spacing needs, file storage, and other requirements.

Support Initiatives

  • Coordinate planning for divisional retreats, staff meetings, and other teambuilding events, including scheduling, drafting agendas, compiling documents, providing tech support, taking notes, and coordinating catering.

  • Build, maintain, and update business line, divisional and departmental trackers, and reports, in consultation with supervisors and/or department leadership.

  • Develop comprehensive resources to proactively share information with regional business units or other support divisions, compiling research and reports as requested.

Provide Leadership Support:

  • Review documents, invoices, and expenses for approval and signature, ensuring compliance with company policies and relevant regulations.

  • Elevate questions and concerns as necessary for leadership response.

  • Book travel and submit expense reports on behalf of the senior vice president.

  • Coordinate with internal clients to ensure senior vice president's calendar is followed and respected.

  • Provide other administrative support to the senior vice president and operations team as required. When needed, provide the executive support above to the executive vice president.

Other Responsibilities

  • Participate in technical and/or new business activities, as appropriate.

  • Perform other duties as required.

Requirements:

  • Minimum one year of administrative, customer service, or other related experience required.

  • Ability to multitask with strong time management and attention to detail.

  • Demonstrated organizational skills to meet multiple, overlapping deadlines.

  • Ability to work independently and as a member of a team.

  • Demonstrated ability to communicate clearly and concisely both orally and in writing.

  • Demonstrated resourcefulness in problem solving, and initiative to learn new skills.

  • Ability to maintain discretion and work with confidential and/or protected information.

  • Strong administrative skills, including knowledge of Microsoft Office applications required. Experience with Dynamics 365 and data analysis/visualization tools such as PowerBI preferred.

  • Demonstrated leadership, versatility and integrity

  • English and Spanish language fluency required.

The Hourly Pay Range for this position is: $21.96 - $27.46.

An employee's pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.

Overtime exemption status may change due to state regulatory requirements.
