Job Summary:

Under general supervision of the Academic Department Manager, the Financial Specialist provides financial management, transaction processing, and administrative support for the Department. This position is the main resource for Department activities relating to reimbursements, payments, and purchasing. The position serves as the first point of contact for Department faculty members, staff, and graduate students for advice, direction, training, and problem resolution relating to financial transactions and processes. Non-routine business is handled by this position to make it a truly broad and versatile service for meeting or resolving complex activities.


Responsibilities:
Primarily reviews, approves, and advises on a variety of advanced financial transactions. May prepare some financial transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management.

  • 20% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 10% Creates general reporting for transactions
  • 30% Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 20% Audits or reconciles original purchase documents with payments
  • 5% Reallocates expenses to appropriate funding strings
  • 5% Drafts communications and advanced reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 5% Answers advanced fiscal questions and provides information based on set materials and standards to various audiences
  • 5% Reviews transaction processing internal controls and recommends policies and procedures

Qualifications:

Required:

1 year of experience in financial field
Experience with Excel or Google Sheets
Experience creating financial reports
Must possess excellent organizational skills, a propensity for detailed accuracy, and the ability to organize and coordinate diverse activities.
Ability to work independently with limited supervision and manage multiple priorities at the same time.

Preferred:

2 years of experience in financial field
Higher education experience
Experience in Workday
Strong skills in office practices and procedures for record keeping, data collection/retrieval, and work planning.
Able to make a wide variety of decisions, analyzing situations, and exercising good judgment.
Must practice excellent interpersonal human relations, and oral/written communication skills.
Must possess excellent customer service and professionalism; be courteous, respectful, responsive, cooperative.
Ability to adapt to and apply new and changing methods, requirements, and priorities.
Excellent time management skills and ability to work quickly and accurately with strict time deadlines and under pressure.
Interest in working in a cohesive team environment, contribute, and learn with others.
Able to effectively train and mentor others.


Work Schedule:

8:00 AM-4:30 PM


Work Type:

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

The anticipated hybrid work schedule will be up to two days remote, with 3 days onsite after an initial 12 month training period which will require working 5 days on site.
