Primary Function: Oversee data driven functions and related day to day operational activities of the Foundation to maximize efficiency of processes, policies, resources, fundraising, events and both internal and external communication to help promote donor retention and growth. Serve as primary data administrator for departmental budgeting and endowment related functions, capital campaign activities, and other major data driven initiatives for the Institutional Advancement Department.

Key Responsibilities:

Endowment/Financial Administration:

  • Work with Executive Director on annual disbursement designations to all scholarship funds based on approved disbursement rate. Oversee communication with college faculty and other academic leaders related to annual fund usage and timely reporting

  • Manage annual endowment letter distribution and other associated donor communication

  • Budgeting: Work with Executive Director to build and manage the Foundation's annual administrative budget to ensure expenses stay within budgeted levels. This includes overseeing the renewal of contracts, and exploration of new vendor relationships as deemed necessary to promote the achievementof Foundation goals

  • Manage and update procedural documentation for credit card gifts, payroll deductions, EFT's as well as track gifts of securities and other planned gift vehicles

  • Serve as liaison with college's finance department for functions related to the annual Foundation financial audit process

Database and Donor Management:

  • Support annual fund and direct mail efforts through database analytics, and list generation and management

  • Ensure proper procedures, training and usage of the fundraising database. Serve as primary vendor liaison with College's donor management system.

  • Be thoroughly knowledgeable on gift entry processes and serve as back up on these and other data entry functions as needed.

  • Work closely with vendor and internal technical support personnel to maintain systems, support and test upgrades, and ensure data integrity.

  • Maintain data integrity through routine data review and cleanup

  • Build, generate and run queries, exports, imports and reports as needed in a timely and accurate fashion for fundraising, benchmarking and tracking reports for Executive Director and other IA staff as needed.

  • Manage and document procedures for credit card gifts, payroll deductions, EFT's as well as tracks gifts of securities and other planned gift vehicles.

  • Manage the data functions, reporting and follow up of the Foundation's planned giving marketing program to ensure best practices in targeting, and timely and effective follow up on leads generated

Capital Campaign:

  • Work with Executive Director and other college leadership on operational and data management planning and research (wealth screenings, reporting standards, etc.) for future capital campaign(s) and/or any significant fundraising efforts to help ensure the success of the fundraising efforts and integrity of fundraising practices and reporting.

  • Establish campaign tracking protocols and ensure adherence to reporting standards

Other functions:

  • Serve as reporting agent (gathering and submission) for the annual Voluntary Support of Education

  • Have a general knowledge of the Foundation's scholarship awarding platform

  • Support scholarship awarding and reporting processes as needed, and provide technical and reporting support as needed

  • Serve as liaison for dual enrollment housing management as needed

  • Support periodic alumni database management and clean-up

  • Ensure new Foundation personnel receive all database and technical training needed to be successful in their respective roles

  • Share and arrange ongoing technical training opportunities when updates or changes create the need for updated user skills

  • Support as needed list generation for special events

  • Support the Executive Director and events personnel on operational activities for cultivation and fundraising events, and other college-wide events as assigned.

Organizational Relationships:(1) Responsible to the Executive Director of Institutional Advancement and Foundation for assigned responsibilities. (2) Oversees Senior Manager of Foundation Operations (3) Works closely & cooperatively with members of the IA staff to carry out departmental objectives (4) Works cooperatively with members of other departments. (5) Works closely with Information Technology Services staff; (6) Relates individual and organization's role to College mission and goals.

Performance Standards: Performance will be considered satisfactory when: (1) the objectives agreed upon have been met within the specified time frame; (2) the responsibilities of the position have been performed in a competent and consistent manner; (3) effective relationships exist with other members of the college community, federal, state and community agencies.

Qualifications:(1) Education: Bachelor's degree from a Council for Higher Education Accreditation (CHEA) approved Institutional Accreditor in business administration, information systems or related field. (2) Skills, Knowledge, Abilities: (a) Detail-oriented, with strong analysis, data management, and problem solving skills; (b) Experience and competence with Microsoft office applications, reporting tools (preferably Crystal reports), and administrative systems, preferably in the fundraising and accounting areas (Raiser's Edge); (c) Ability to work on multiple projects and meet project deadlines; (d) Strong interpersonal, written and oral communication skills; (e) Flexibility to adapt and shift priorities to the various situations which may arise in the day to day operations; (f) Experience with developing departmental data management related policy, procedure, and system documentation; (g) Be self-motivated, self-directed, achievement-oriented, with proven success working as member of a team; (h) General understanding of fundraising concepts and principles, and ability to apply to IA systems configuration and support (i) Ability to establish effective relationships with co-workers, donors and various constituencies within the college; (j) Excellent organization, project management and office management skills, methods and procedures; (k) Ability to train users and share best practices in the adoption and most effective use of software and technology (3) Experience: (a) Minimum 3 years' experience in systems administration/reporting or similar area. Experience in higher education preferred.
