Purpose of Position
The Business & Finance Officer is responsible for managing the overall financial and business tasks of EngageKY. This includes leadership and oversight of agency accounts, grants, contracts, and technology platforms used by the organization. The job includes pre-award, post-award, and closeout activities for a variety of grants totaling approximately $5 million dollars annually and oversight of contracts; ongoing monitoring, tracking, and reporting of agency accounts; and managing financial documents and processes for the EngageKY 5013. The work will be completed in the Northern Kentucky University SAP system, Salesforce, and internal organization spreadsheets and documents.
This is a fast-paced, multi-tasking position that oversees several part-time staff involved in financial processing for the organization. The role requires extensive internal and external interaction, both written and face-to-face, with NKU offices, funders, and stakeholders. The position demands a high degree of professionalism and trust, with an ability to prioritize and multitask based on changing needs and deadlines. Strong inter- and intra-office communication and teamwork skills are critical.
Primary Responsibilities
Managing Grants, Contracts, and Agency Accounts

  • Ensure compliance and appropriate spending for grants, contracts, and agency accounts.
  • Prepare grant proposal budgets and contract Requests for Proposals for Principal Investigator review.
  • Recommend, revise, and advise budget changes to awarded grants and contracts.
  • Develop and oversee budget monitoring systems for grants, contracts, and agency funds.
  • Review SAP reports, analyze variances, and take appropriate action.
  • Manage internal sponsored audits and develop an account reconciliation system for all accounts.
  • Develop reports for forecasting and trending of expenditures of grants, contracts, and agency accounts.
  • the process for delivering technical and financial reports for private and government sponsors.
  • Provide ongoing guidance, facilitation, and expertise to staff managing the implementation of grants and contracts.
  • Ensure compliance with sponsoring organization guidelines, internal protocols, and accurate protocol information within grant documents.
  • Provide regular financial status reports to principal investigators and assist with grant and contract closeouts.
  • Manage and supervise the performance and efficiency of the organization's grants and contracts team.
  • Prepare annual EngageKY budget for board approval, with a mid-year analysis and projection for staff.
  • Develop a three-year financial plan that is reviewed and updated annually. Develop other processes and systems as needed.



Managing Technology Platforms

  • Manage current and future technology platforms used by the organization, including Salesforce, America Learns, GivePulse, and SAP.
  • Oversee technology accounts, including payments, account passwords, staff training, and technical assistance.
  • Supervise Salesforce Administrator.
  • Serve as liaison and support for contractors related to the platforms.
  • Research and recommend new technology, and develop implementation plans.
  • Analyze technology usage and recommend consolidations for efficiency.


Supporting EngageKY 5013 Organization

  • Create and implement systems to support the EngageKY 5013 organization.
  • Set up accounting systems and financial management software.
  • Establish banking relationships and open necessary accounts.
  • Develop a plan for regular financial reporting and audits.

EngageKY Activities
Participate in EngageKY staff meetings, retreats, events, and GERO meetings.

  • Uphold EngageKY values in all work tasks and activities.
  • Serve as a member of the EngageKY Leadership Team.

Qualifications

  • Experience developing grant budgets, tracking grant expenditures, and overseeing grant compliance.
  • Experience with technology platforms such as SAP, Salesforce, GivePulse, America Learns, or similar platforms.
  • Strong skills with Excel spreadsheets.
  • Ability to use virtual meeting platforms such as Teams or Zoom.
  • Ability to communicate financial data to non-financial staff and board members.
  • Preferred certification in grants management.
