Description

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks an Health & Community Sciences Office Coordinator to promote our Catholic Franciscan mission and identity by to providing comprehensive administrative support for our growing academic unit. This position is vital in supporting the college's development while upholding our Catholic Franciscan mission and values. The Office Coordinator will serve as a key administrative partner to the Dean and Associate Deans, managing daily operations and facilitating communication across departments.

Essential Duties and Responsibilities:



  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.


Administrative Leadership:



  • Serve as the primary administrative point of contact for the College, managing communications and coordinating responses to inquiries from internal and external stakeholders
  • Maintain calendars and coordinate complex scheduling across the leadership team
  • Organize and facilitate college-wide meetings, educational events, and special programs
  • Develop and maintain efficient office systems and procedures to support college operations
  • Train new staff members on administrative procedures, systems, and workflows as the unit expands
  • Provide strategic input and recommendations for staff structure and role development as the college grows and adds positions
  • Performs other duties as assigned.


Financial Management:



  • Process and track budget requests
  • Reconcile expense reports and maintain financial records
  • Manage procurement of office supplies and equipment
  • Process travel arrangements and reimbursements for faculty and staff


Records and Compliance:



  • Oversee maintenance of critical accreditation documentation and records at the direction of program leadership
  • Maintain accurate faculty and staff personnel files
  • Track and update professional licensures, credentials, and continuing education requirements
  • Create and maintain detailed spreadsheets for college operations and reporting.


Personnel Support:



  • Coordinate faculty and staff hiring processes, including managing search committee logistics
  • Facilitate comprehensive onboarding and off-boarding procedures for faculty and staff
  • Support contract administration for part-time faculty and staff
  • Coordinate with HR to ensure compliance with university policies and procedures


Facilities and Technology:



  • Serve as liaison for building maintenance and IT support requests
  • Manage office space allocation and resources
  • Coordinate parking arrangements for invited visitors
  • Support technology needs for meetings and events

Required Qualifications:

  • High school diploma required; college degree preferred
  • Minimum 3 years of administrative support experience, preferably in higher education
  • Advanced proficiency in Microsoft Office 365 suite (Outlook, Word, Excel, PowerPoint)
  • Demonstrated experience with database management and record keeping
  • Exceptional organizational and time management skills
  • Outstanding written and verbal communication abilities
  • Proven ability to handle confidential information with discretion
  • Experience with event planning and coordination
  • Strong attention to detail and accuracy
  • Ability to prioritize and manage multiple projects simultaneously
  • Excellent interpersonal skills and professional demeanor
  • Problem-solving and critical thinking abilities
  • Adaptability and flexibility in a growing organization
  • Understanding of and commitment to Marian University's Catholic Franciscan mission
