Job Overview:The Logistics Supervisor is responsible for coordinating and managing the logistical operations that support the provision of services to IRC clients. This includes securing and coordinating safe, sanitary, and affordable housing for newly arriving refugees up to 5 years, leading the procurement and distribution of furnishings and supplies, and managing client transportation for airport pick-ups and service-related appointments. The Logistics Supervisor ensures seamless delivery of these services while maintaining compliance with program requirements. Additionally, they supervise a team of logistics staff, ensuring timely and efficient service delivery and contributing to the overall success of resettlement and support services.

The Logistics Supervisor plays a critical role in reducing barriers to housing security for newly arrived and longer-term clients by building relationships with landlords, coordinating interpretation services, and providing ongoing support to ensure client needs are met.

Major Responsibilities:

Responsibilities include, but are not limited to:

  • Housing Coordination: Identify and secure safe, sanitary, and affordable housing for newly arriving refugees in compliance with established program requirements. Act as the primary liaison with leasing offices and property managers to ensure housing quality and ongoing maintenance. Coordinate client home repair requests and follow up with property management regarding safety needs.
  • Logistics Administration: Oversee all logistical operations related to resettlement services, including client transportation for airport pick-ups, medical appointments, and other service needs. Coordinate logistical activities such as furniture procurement, utility hook-ups, lease signings, and home safety inspections to ensure a seamless transition for clients.
  • Procurement & Inventory: Establish and maintain local procurement relationships for purchasing and in-kind donations. Ensure proper inventory management protocols in accordance with IRC and donor requirements. Oversee procurement of supplies for the Reception & Placement program, maintain accurate inventory records, research vendors for cost efficiency, and ensure proper documentation.
  • Warehouse & Distribution Management: Develop and maintain an effective warehouse management system to ensure the efficient distribution of furnishings and supplies for new arrivals. Guarantee the timely delivery of supplies while adhering to safety and compliance standards.
  • Team Supervision & Capacity Building: Manage and support a team of logistics staff, volunteers, and interns in accordance with IRC's People Manager Standards. Provide ongoing training and capacity-building opportunities for logistics staff, ensuring they are well-versed in procurement systems and operational procedures.
  • Collaboration & Communication: Collaborate with internal program staff to share updates on client progress and logistical needs, ensuring smooth service delivery. Maintain open communication with the Deputy Director and report on all operational issues of concern. Build and maintain strong relationships with landlords, vendors, and external partners to support housing and logistical operations.
  • Compliance & Recordkeeping: Ensure compliance with home safety standards, logistics systems, and procedures in all phases of Project. Satisfy recordkeeping requirements, ensuring documentation is accurate and up to date for audit and reporting purposes.
  • Strategic Planning: Provide expertise and advice on logistics-related policy issues. Undertake medium- to long-term planning for logistical requirements and make recommendations for continuous improvement in processes and systems.
  • Client Support & Orientation: Coordinate client orientations as needed, ensuring clients understand how to navigate their new environment. Facilitate interpretation services for client appointments and other resettlement activities.
  • Travel & Transportation: Use a personal, insured vehicle and/or public transportation to travel and transport clients and materials as needed within the service delivery area.
  • Other Duties: Perform additional tasks as assigned to support overall program success and client self-sufficiency.

Job Requirements:

Preference:Bilingual or multilingual candidates are strongly preferred. Proficiency in additional languages relevant to the client population is a plus.

Education:Bachelor's degree in social work or related field of study preferred.

Work Experience:

  • Minimum of 3 years of relevant professional experience required.
  • Experience working with refugee and/or immigrant populations preferred.
  • Prior supervisory experience preferred.

  • Highly organized and detail-oriented professionals with exceptional planning, time management, and problem-solving abilities. Demonstrated success in managing multiple priorities simultaneously, ensuring that tasks are completed within deadlines and in accordance with program requirements.
  • Physical ability to regularly lift up to 50 lbs. and perform other manual tasks as required to support operational functions, including furniture delivery and inventory management.
  • Fluent in spoken and written English, with the ability to clearly communicate program details, instructions, and updates to clients and colleagues. Proficiency in additional languages, particularly those spoken by IRC's client populations, is strongly preferred.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and other digital tools necessary for tasks such as data entry, research, reporting, and problem-solving. Adept at utilizing internet-based platforms to support logistics, communication, and resource management.
  • Valid driver's license and access to a personal, insured vehicle to facilitate transportation of materials, clients, and supplies as needed throughout the service area, ensuring that logistical operations are efficiently supported.

Working Environment:

  • A combination of standard office environment, remote work, and 'field' time within the service delivery area to perform the above outlined responsibilities.
  • May require occasional weekend and/or evening work.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
