The Office of Student Success in the College of Applied Human Sciences (CAHS) at West Virginia University is currently accepting applications for a (Hybrid) Graduate Student Success and Enrollment Specialist. About the Opportunity The Graduate Student Success and Enrollment Specialist will work primarily with CAHS masters students and will be responsible for facilitating the recruitment, retention, and graduation of those students. Duties include holding recruiting/informational sessions for potential students, onboarding new students, and advising current students. The position will serve as the college liaison for all offered academic student services and ensures compliance to college and university policies and procedures. The incumbent will also support CPOS and Graduation Certification efforts. Serves as the point of contact for faculty for all graduate and professional advising/student success related concerns including but not limited to course overrides, Degree Works exceptions, etc. We strongly believe in work-life balance and keeping time for things we love outside our work. What You'll Do Enrollment Management
- Monitors current trends in enrollment management, student retention, and program completion, making
recommendations for continued innovation in strategic planning. - Develop and implement recruitment strategies for graduate programs, focusing on both domestic and international markets.
- Conduct personalized outreach through emails, phone calls, and virtual or in-person meetings/ information sessions to prospective students, guiding them through the application process.
- Build and maintain relationships with academic departments, faculty, and current students to stay informed on program offerings and enhance recruitment efforts.
- Represent CAHS at graduate fairs, conferences, webinars, and other recruitment events.
- Attend and organize information sessions, prospective student webinars, and other recruitment events to engage with applicants and answer their questions.
- Serve as the main point of contact for prospective students, answering questions and providing guidance on program details, application processes, and scholarships.
- Use CRM tools to track communication and engagement with prospective students, ensuring timely follow-ups and personalized messaging.
- Use CRM to execute admissions decisions
- Support prospective students with information on financial aid, scholarships, program prerequisites, and career outcomes.
- Coordinate with faculty, admissions staff, and student ambassadors to provide accurate and engaging information.
- Participates in the planning and execution of Recruitment Events (Decide, Discover, Destination, Academic Sessions,
Academic Day, Honors Days, etc.)
Advising
- Provide timely and effective academic advising support to graduate and professional students in the College of Applied Human Sciences.
- Deliver a combination of appreciative and developmental advising models to meet individual student needs and help them reach their educational goals.
- Utilize the WVU Catalog to ensure compliance to College and University policies and procedures.
- Collaborate with the WVU Athletic Department to enhance student athlete advising, NCAA certification, and communication between the units.
- Monitor degree progress and completion and maintain student records by utilizing information systems (i.e., Banner, Degree Works, Navigate).
- Monitor academic standing and maintain accurate and complete student files.
- Assist students through the probation, suspension, contractual readmission, and academic success plan process.
- Support students through the appeal process for academic and federal financial aid suspensions.
- Support office with the CPOS and Graduation Certification process for graduate and professional level students.
- Assist transfer students and students taking courses in transient through the transfer credit articulation process.
- Provide academic guidance and support to all students including - academically at-risk students, transient students, students with disabilities, students requiring accessibility services, online, in-person, etc.
- Provide information and referrals to campus and community resources available to assist students in achieving personal, educational, and career goals.
Developing and Assessing Retention Initiatives
- Develop and implement programming aimed at improving enrollment, retention and degree completion rates for students in CAHS.
- Instruct up to two sections in the fall and spring term of either CAHS 191, CAHS 300, CAHS 489, or other CAHS subject codes.
- Work with faculty to identify students who are at-risk during the Early Alert reporting process and provide outreach and support to these students.
- Collaborate with program faculty on the development, implementation, and maintenance of community partnerships, internship and externship experiences, and articulation agreements.
- Support student events (Graduation, College Days, etc.)
- Provide feedback and recommendations concerning the schedule of courses to ensure we meet student need.
- Continue to review, update and disseminate to all students and faculty informational materials on student policies, procedures, advising resources, internal communications, program marketing materials, registration and graduation.
- Collaborate with other units on campus to connect students with resources as needed.
- Serve on college and university boards and committees as need.
Online Program Leadership and Administration
- Provide technical support and guidance for academic advisers across all online programs in the college.
- Collect, analyze, and use enrollment data to project successful outcomes for online students in the college.
- Analyze enrollment and retention numbers for the Dean/administrative staff/online unit.
- Support online programs administratively (e.g., enrollment tracking, waiver use, admissions and onboarding.)
- Maintain regular contact with other University offices such as Admissions, Office of the University Registrar, WVU Online, and other academic units.
- Serve as primary for Grit Digital Health for YOU at WVU web app updates.
- Continue to review, update and disseminate to all students and faculty informational materials on student policies, procedures, advising resources, internal communications, program marketing materials, registration and graduation.
Qualifications
- Master's degree in higher education, counseling or a field related.
- A minimum of one (1) year of relevant experience working with college-age adults and a strong understanding of their prescriptive and developmental advising needs.
- Any equivalent combination of related education and/or experience will be considered.
- All requirements must be met by the time of employment.
Knowledge, Skills, and Abilities
- Ability to work independently and exercise sound judgment.
- Strong analytic skills in determining a best course of action when presented with student academic/career issues.
- Demonstrated ability to speak in public and articulate activities of the program. May need to speak to large groups.
- Excellent oral and written communication skills to prepare various reports and communicate clearly and concisely
with a diverse group of individuals. - Ability to gather, analyze and evaluate data.
- Ability to maintain confidentiality of sensitive academic records.
- Demonstrated knowledge and ability to interpret academic policies and procedures. Demonstrated math skills to calculate grade point average and deficiency points.
- Ability to deal with stress, conflict, varied personalities of students, co-workers and others in a calm and congenial manner.
- Ability to learn university, college, and program policy, curriculum, and admission requirements.
- Demonstrated proficiency with Microsoft applications and University supported software systems, Banner, Degree Works,
GEMS, CIM, etc. is preferred.
Preferred Qualifications
- Experience working in an online or distance education setting.
