Description

  • Completes a broad variety of administrative support tasks for EVPs and C-Suite executives, including managing an active calendar of appointments and events; composing and preparing correspondence; arranging travel plans, itineraries and agendas; and compiling and editing presentations and documentation, sometimes confidential in nature, for meetings.
  • Works closely and effectively with executives to keep leadership well informed of upcoming commitments and responsibilities, following up appropriately.
  • Manages executive team travel plans, conference registrations, and meeting planning.
  • Closely monitors deadlines for all conference and event registrations and lodging for executive and board attended conferences and events. Works closely with Executive Assistant Manager and executives to determine attendees.
  • Provides per diem and expense report support for executives and Executive Assistant Manager as needed.
  • Represents executives by welcoming guests, in person or by phone, and answering questions regarding their interaction with the executive. Intercepts member calls to executives and routes to appropriate leader for resolution.
  • Communicates directly, on behalf of executives, with others on matters related to executive strategic initiatives. Provides a bridge for smooth communication to maintain credibility, trust and support of the executives.
  • Collects and distributes daily mail and assists in the daily filing needs of executive team.
  • Researches and negotiates pricing and contracts for executive team related events and travel.
  • Provides event planning support and maintains event budget record keeping.
  • Works closely with the Information Services team to ensure that A/V equipment is functional and ready for use for executive team meetings.
  • Arranges leadership team visits to branches and corresponds with branch management beforehand.
  • Works to actively build relationships crucial to the success of the organization and manages a variety of special projects for executives, some of which may have an organizational impact.
  • Prioritizes conflicting needs; handles matters expeditiously, and follows-through on projects to successful completion and within established deadlines.
  • Prepares reports by collecting and analyzing data and information. Translates data into text and graphics as needed to represent data in the appropriate setting.
  • Is cross-trained and provides back up support to the Executive Assistant Manager in board meeting preparation and execution, including recording meeting minutes, assembling monthly board book, uploading meeting materials, testing room technology and meeting room set up.
  • Supports Executive Assistant Manager in researching advanced software tools and special projects that may include storage, archiving, and office renovations.
  • Supports Executive Assistant Manager with coordination of marketing requests such as the annual report, executive bios and headshots, grand openings and holiday cards.
  • Supports Executive Assistant Manager with annual events such as Team Day/Team Hour, educational summits and the Annual Shareholder's Meeting.
  • Assist in the documentation of administrative team function procedures.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal and professional networks and participating in professional associations.
  • Promotes and establishes strong, positive and productive working relationships within the organization through commitment to the company's purpose, mission and core values.

Education
Bachelors (required)
Experience
Bachelor's degree or equivalent experience in business or related field. (required)
Computer proficiency with MS Office, including Word, Excel and PowerPoint, Internet, and Email. (required)
Advanced level of verbal and written communication skills (required)
6 years: 6+ years of experience in supporting C-Level executives, preferably in financial services. (required)
