Job Description

The Administrator - IT Infrastructure and Operations provides administrative support to the Corp Sr Director - Information Technology. This position is also responsible for assisting with project management, as well as reporting KBIs.

What your day will look like:
  • Responsible for generating high quality emails, presentations and documents that will be distributed to individuals at all levels of the organization
  • Coordinate schedules, prioritizing functions and appointments, ensuring that meetings, deadlines, presentations, and other duties of the department are carried out seamlessly and report project progress to various stakeholders
  • Support all aspects of IT departmental projects
  • Conducts research, assembles, and compiles data to prepare reports and documents
  • Provide administrative support to include travel arrangements, meeting arrangements, expense report processing, reporting, calendar management and other administrative tasks
  • Reviews and summarizes miscellaneous reports and documents; prepares background documents and outgoing mail, as necessary
  • Reviews and authorizes invoices related to daily responsibilities, including office and meeting supplies and all meeting/event expenses
  • Gather and prepare content for staff calls and any other calls as needed
  • Attend and assist facilitating meetings
  • Prepare and cascade notes from meetings, track and document follow-up
  • Coordinate site visits for Corp Sr Director and team members
  • Track new and ongoing projects
  • Gather relevant information from supporting teams and departments to aid in projects
  • Assist with creation of content for presentations and provide updates on projects as required
  • Track IT operating expenses and capital expenses, any operational changes and upgrades
  • Work with Corp Finance teams on monthly IT expenses, prepaid items and budget
  • Assist Corp Sr Director with yearly budget, invoice coding and tracking
  • Performs appropriate duties as assigned by management
What you need to succeed:
  • Minimum age 18 years old
  • Valid driver's license required and obligation to maintain compliance with UNITED fleet policy
  • Personal Protective Equipment (PPE) as required by position and compliance with UNITED safety policies
  • Regular and prompt attendance is an essential function of the job
  • Ability to read, write and speak English
  • Ability to maintain a neat professional appearance within Company guidelines
  • Ability to maintain safety and security of Company assets
  • Ability to utilize all Company provided resources and technology
  • Highly organized, able to wear multiple hats, and accomplish a multitude of tasks in fast-moving environment required
  • High level of customer service required
  • Median knowledge of Excel, PowerPoint and Microsoft Office Suite required
  • High School diploma and 3-5 years of Information Technology experience and/or training; or equivalent combination or education and experience
  • Knowledge of Power BI preferred
  • Information Technology experience preferred
  • Administrative experience preferred
  • Ability to travel up to 25%
  • SAP experience, including vendor payments and tracking and purchase order processing preferred
Physical Requirements

Position will be required to comply with the CCBCU Personal Protective Equipment Program. Position is required to wear safety toed shoes when performing the following tasks: Operating Powered Industrial Equipment or Working in an Area where Powered Industrial Equipment is in use, Fleet Maintenance, Working with Palletized Product, Use of Hand Trucks/Dollies to Deliver Product, Cooler Services, etc.
