Business Support Specialist (Administrative Support)

This position requires the ability to obtain an active USAccess clearance.

The Business Support Specialist provides administrative, budgetary, and logistical support to the Center Administrative staff. This role is critical in managing office operations, coordinating meetings, assisting with financial documentation, and performing various routine administrative tasks to ensure smooth operations within the office. The contractors will work between 30 - 40 hours per week depending on the volume of work available.

Compensation & Benefits:

Estimated Starting Salary Range for Business Support Specialist (Administrative Support): $20-22 Hourly

Pay commensurate with experience.

Full time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided. Benefits are subject to change with or without notice.

Business Support Specialist (Administrative Support) Responsibilities Include:

  • Assist with domestic travel authorization and voucher preparation.
  • Ensure compliance with Federal Government travel rules and regulations, utilizing relevant software.
  • Coordinate office logistics, meetings, and reception duties.
  • Support timekeepers with bi-weekly time and attendance documentation, forms, reports, and approval routing.
  • Manage credit card adjustments, reconcile statements, and maintain logs using designated software.
  • Coordinate routing for credit card statement approval and review.
  • Process monthly invoices
  • Follow federal client guidelines, ensuring all invoice documentation is accurate and complete.
  • Perform routine administrative tasks and assist with office work.
  • Interact with employees in a courteous and professional manner and operate office equipment.
  • Training on federal client systems/software will be provided.
  • Performs other job-related duties as assigned

Business Support Specialist (Administrative Support) Experience, Education, Skills, Abilities requested:

  • Two (2) years of administrative, financial, accounting, or budget analysis experience required.
  • Familiarity with PC-based systems and email programs.
  • Strong knowledge of Microsoft Office Suite and web browsers.
  • Ability to work effectively within a team, managing changing priorities and deadlines.
  • Excellent communication and interpersonal skills.
  • Three or more years of experience with federal policies, procedures, systems, and programs preferred.
  • Ability to provide administrative support to over 100 staff scientists and managers.
  • Responsibilities include occasional travel (driving personal/government vehicles, typically short distances, rarely longer trips), independently completing complex, multi-step assignments, and problem-solving beyond existing guidelines.
  • This position requires the ability to obtain an active USAccess
