Essential Job Duties |
NC State University's Fleet Services department is seeking a detail-oriented and customer-focused
Motor Pool Coordinator to manage and oversee vehicle reservations and dispatching. This role plays a key part in ensuring efficient fleet operations, handling over 4,000 reservations annually. Responsibilities include
scheduling maintenance, coordinating bus routes with driver schedules, and ensuring accurate billing and account management. The ideal candidate thrives in a fast-paced environment, has strong organizational skills, and enjoys problem-solving to keep operations running smoothly. Key responsibilities and duties include but not limited to:
- Create, dispatch, return, and close Motor Pool reservations, ensuring vehicles are properly monitored and returned on time
Schedule vehicle maintenance and repairs, while efficiently coordinating driver schedules with bus routes Operate and maintain records in Fleet Management Information Systems (FMIS) such as FASTER WEB, FASTER Motor Pool, GeoTab, and Wolfpack Reporting System- Provide support to customers regarding billing inquiries, breakdowns, vehicle switch-outs, and complaint resolution
- Verify driver's licenses, validate departmental project IDs, and maintain accurate rental histories for all assets
Monitor traffic, accidents, and vehicle-related issues, proactively informing customers and drivers of any changes or delays- Ensure all reservations have correct account information for billing, handle disputes, and resolve discrepancies as needed
- Maintain a professional and welcoming presence at the front desk, effectively resolving customer and driver disputes with professionalism and diplomacy
- Oversee the organization, tracking, and secure storage of spare keys
- Manage the functionality and proper usage of Wright Express fuel cards, assisting users with troubleshooting and ensuring compliance with fuel purchasing policies

Other Responsibilities |
- Provide support and coverage for the Motor Pool Supervisor as needed
- Other duties as assigned

Qualifications
Minimum Experience/Education |
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. |
Other Required Qualifications |
- Excellent interpersonal and oral and written communication skills
- Excellent organizational skills with attention to detail and ability to handle and prioritize multiple projects
- Ability to professionally interact with faculty, staff, students, campus partners and outside constituents
- Working knowledge and experience using Microsoft Office Suite (Word, PowerPoint, Excel); Google Applications (Gmail, Google Docs, Google Forms, etc)
- Ability to exercise good judgment in resolving problems and making decisions based on analytical assessment of program content, University or departmental policies, or own mature discretion
- High degree of initiative and the aptitude to work independently
- Demonstrated strengths in collaboration and communication with a diverse audience
