Primary Purpose of Position
This position serves as the main contact and organizer for all services to visitors of the Turchin Center, including on-campus and outside users of the facility. Serving as the main point of contact for visitors, the position serves as the public face of the Turchin Center. Additionally, this position serves as the supervisor for Gallery Ambassadors.
Minimum Qualifications
Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Job Functions
The Visitor Services Coordinator serves as the main contact and organizer for all services to visitors of the Turchin Center for the Visual Arts ( TCVA), as well as the manager for the public spaces within the facility. This position serves as the public "face" of TCVA and plays an instrumental role in working with other members of the team to engage and cultivate visitors.
Specific responsibilities include:
Visitor/Member Services:

  • Serve as the main point of contact for guests, ensuring a welcoming visitor experience and providing information about exhibitions and programs.
  • Manage phone and email inquiries, directing messages as needed.
  • Available to cover the front desk and proactive in scheduling staff to ensure consistency during open hours.
  • Maintain visitor records, attendance data, and event participation reports.
  • Operate cash register; process deposit paperwork and deposits, in accordance with university policies and procedures.
  • On an occasional basis, be available to lead impromptu visitor tours.
  • Assist class/workshop participants in signing up/registering in coordination with TCVA education staff.


Leadership/Supervision:

  • Interview, hire, schedule, train, and supervise student Gallery Ambassadors (12-15) and visitor services staff.
  • Process payroll, hiring paperwork, and manages time entries for student and non student temporary (NST) hires.
  • Oversee the security of galleries and collections, and provide Gallery staff instruction on emergency preparedness and safety practices.
  • Participate in staff meetings, planning sessions, and retreats.

Facility/Event Management:

  • Maintain the facility's calendar and coordinate events with staff team.
  • Assist in planning and delivering public events-including receptions, ARTtalks, First Friday, sculpture programs, and downtown activities-by ensuring adequate staffing, facility readiness, and access/support for guests and vendors.
  • Maintain and implement updated policies and protocols.
  • Coordinate space usage requests with staff, campus, and community partners.
  • Aid in the set up and take down of event spaces and materials, including various furniture, food, signage and tech requirements.
  • Manage rental requests for on-campus and off-campus users by contracting, planning, organizing and supervising events.

Knowledge, Skills, & Abilities Required for this Position

  • 2-3 years of demonstrated skill in customer service
  • Undergraduate degree in Museum Studies, Arts Administration, Art History, Communications, Public Relations, or other discipline related to the Visitor Services area.
  • Strong background, interest, and experience in the visual arts
  • Exceptional communication and interpersonal skills; ability to be flexible, communicative, and work collaboratively in a team environment
  • Leadership and supervision skills; the ability to provide mentorship and support for a team of 10-12 Gallery Ambassadors comprised primarily of student employees
  • Accuracy and attention to detail
  • Excellent time management skills
  • Ability to engage visitors who comprise a varying mix of backgrounds and personalities, with varying knowledge and background in the visual arts; to create a warm and empathetic environment in which all visitors feel welcome and valued
  • Proficiency with the use of Google Suite, which includes programs used by the Turchin Center to organize its most critical functions

Preferred Qualifications
  • 2-3 years of experience in a customer service setting in a museum or gallery setting

Centered around TCVA's public hours (Tuesday-Saturday, 9:30 AM-6:00 PM; Fridays 11:30- 8:00 PM), with biweekly Monday meetings, not to exceed 40 hours. Flexible hours based on museum needs and events. Occasional coverage (in rotation with other TCVA staff) to provide coverage during holiday periods.

The range of physical demands for this position is broad. The position requires desk work, and also time on the feet to manage events. The position also requires light to medium lifting related to event management and daily office chores.
