Vaccine R&D Engagement Lead & Administrative Assistant

In the plan to create a new hub for mRNA-based vaccine discovery in Cambridge, we are building new laboratories that will be focused on the development of state-of-the-art methods that will be supporting deep product understanding, process and product development, as well as testing of pre-clinical and clinical samples for new mRNA-based vaccines.

Key Responsibilities:

Vaccine Engagement Lead:

  • Provide direct communication support to the US Site Head and Rockville Vaccines Site Leadership.
  • Coordinate and execute site-wide project management of meetings / events, including:
  • Organization of agenda setting, arranging speakers, meeting promotion, meeting slides, execution of the meeting, etc.
  • Organize tours for the appropriate external visitors and support local site-wide initiatives, when required.
  • Work with site stakeholders to plan site-wide and community events and connect activity across various site teams.
  • Coordinate sharing and connectivity efforts to include smaller teams across the vaccine business to bring together various functions at the site together (activities, events, communications).
  • Identify local data/information of relevance to share with the vaccine businesses across the site.
  • Accountable for the monthly KPI reporting for site specific information which may be cross functional in nature.

Senior Administrative Assistant:

  • Responsible for full schedule management US Site Head.
  • Monitor internal and external correspondence ensuring appropriate reply or prompt delegation and tracking of actions in an independent manner, while escalating necessary queries as appropriate.
  • Organize travel itineraries for the US vaccine Site, and the vaccine Site Leadership team, when required, liaising with internal and external organizations.
  • Work with relevant internal departments and external organizations to research content to prepare correspondence and presentations.

Travel to Rockville, MD may be needed initially for knowledge transfer and training.

Basic Qualifications:

  • High School Diploma or Equivalent experience.
  • Five or more years of business support experience.

Preferred Qualifications:

  • Associate degree or higher degree.
  • Certification in Project Management.
  • Pharmaceutical or R&D experience.
  • Demonstrated ability to build collaborative relationships at all levels in the organization, including senior management.
  • Ability to work in and manage cross-functional matrix teams / projects.
  • Ability to manage project from end-to-end maintaining the engagement of the various project stakeholders and contributors.
