Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $80,000 to $93,000/year. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $77,000 to $139,200/year.

Brief Summary of Job Duties:

The Director independently oversees graduate admissions, outreach, recruitment, and diversity initiatives. Develops and implements programs to enhance student outreach, admissions, and recruitment using data-driven strategies to improve policies and procedures. Oversees day-to-day operations for admissions and provides guidance on complex issues and advises senior management. Collaborates with faculty, staff, and academic departments to implement best practices for holistic admissions review and communicate policies effectively. Represents the Graduate Division on and off campus, partnering with stakeholders to shape enrollment strategies. Oversees administrative and personnel management, setting goals and performance expectations for a team of five. Enhances the presence and success of underrepresented students through programming and engagement with faculty, staff, and program directors across the UC system and beyond. Holds programmatic authority over diversity initiatives, developing interventions to support graduate preparation, outreach, and recruitment.

Required Qualifications:

  • Master's Degree in related area and / or equivalent experience / training.
  • 4-6 years progressive experience in graduate admissions, recruitment, or related areas.
  • 1-3 years of demonstrated experience developing and implementing recruitment and outreach strategies.
  • 4-6 years of experience working with underrepresented and diverse student populations in higher education.
  • Knowledge of diversity, equity, and inclusion (DEI) principles and their application in graduate education.
  • Data analysis skills with the ability to assess enrollment trends and make data-driven decisions.
  • Excellent communication and interpersonal skills to engage with prospective students, faculty, staff, and external partners.

Preferred Qualifications:

  • 1-3 years of supervisory experience, including staff development and team leadership.
  • 4-6 years of experience working in a research-intensive university setting.
  • 4-6 years of direct experience with holistic admissions review processes.
  • 1-3 years of grant writing or securing external funding for diversity and outreach initiatives.
  • 4-6 years of experience developing and leading pipeline programs or partnerships with Minority-Serving Institutions (MSIs), Historically Black Colleges and Universities (HBCUs), or Hispanic-Serving Institutions (HSIs).
  • Proficiency in enrollment management systems and/or CRM platforms.
  • Ability to work collaboratively across departments and with external organizations to enhance graduate diversity efforts.

Job Functions and Percentages of Time:

Graduate Admissions - 35%

Independently oversees the day-to-day operations for graduate admissions and the admission application system for the Graduate Division, including supervision of the Associate Director for Graduate Admissions.

Plans and designs enhancements or new developments to the online application and review systems that increase accuracy and efficiency, with particular attention to end-user accessibility and inclusivity. Directs system enhancement testing. Oversees system's management, functionality, and strategic alignment with institutional needs.

Serves as compliance officer for Graduate Admissions, acting as a key advisor to Graduate Division senior management and general campus. Administers policies and procedures of the Graduate Council, Graduate Division, and other agencies as applicable to the admissions process. Develops procedures that meet legal and policy requirements and is responsible for implementing changes in a timely and efficient manner.

Identifies associated changes to business practices and updates policies and procedures. Prepares and disseminates directives and guidelines regarding graduate admissions policy or procedural changes to the campus community.

Provides leadership on the intake and processing of approximately 10,000 admission applications to 50 academic departments and programs ensuring adherence to FERPA. Manages the online graduate admission application to ensure that it meets established legal guidelines, is user-friendly, and collects required information. Leads efforts for admission system implementations, upgrades and enhancements. Directs effective processes for collecting, analyzing, and reporting data related to graduate applications and admissions.

Plans and supervises training of campus staff involved in graduate admissions. Reviews the content and publication of appropriate informational training guides and manuals on campus policies and procedures related to graduate admissions at UCSB.

Approves admission decisions. Advises academic departments on procedures for requesting exceptions to admissions policies; analyzes and recommends action to the Dean on admission for applicants who do not meet University minimum standards.

Outreach and Recruitment Activities - 35%

Provides leadership in consultation with the Graduate Division Deans and Academic Deans and Departments to set the vision and goals for overall campus graduate student outreach and recruitment activities.

Independently develops and implements of a set of strategies that will produce a highly qualified and diverse pool of graduate applicants for UCSB degree programs. Facilitates activities that allow for the strategic engagement of faculty and staff in student recruitment and yield. Assists departments in developing and evaluating their own effectiveness in outreach and recruitment activities, making recommendations for refinement of programs as necessary.

Supervises Assistant Director for Outreach in their management of Graduate Division centered activities.

Develops a comprehensive annual budget proposal for outreach and recruitment activities. Oversees management and administration of outreach and recruitment program budgets.

Drafts annual reports for submission to Graduate Deans, campus, and/or UC Office of the President as required. Participates in annual program evaluation and contributes understanding and analysis of outcomes.

Works collaboratively with the Director of Marketing and Communication to update web pages and divisional publications related to graduate admissions.

Works collaboratively with the Graduate Division Information Systems unit to infuse the latest technology in outreach and recruitment efforts.

Diversity Programming - 30%

Works with academic departments to facilitate diversity outreach and recruitment goals. Identifies grant opportunities and cultivates faculty/departmental partners for proposals to support diversity outreach.

Specifically works to ensure campus participation in the UC-HBCU Initiative Grant program and other minority-based funding opportunities.

Supervises Graduate Diversity Officer in their effort to develop and implement outreach strategies, partners with academic departments to enhance holistic admissions practices, and coordinates mentorship and professional development programs. Ensures effective program implementation, assessment, and continuous improvement for summer research programs.

Oversees the Graduate Division's portfolio of undergraduate summer research and graduate preparation programs (including the Academic Research Consortium, CSU Sally Cassanova Scholars Program, and UCSB campus-centered UC LEADS program) designed to better prepare students from traditionally underrepresented groups for graduate study.

Collaborates with other UCSB campus programs designed to prepare current undergraduates for graduate study.

Builds and enhances the Graduate Division's relationships with California State Universities and minority serving institutions to better ensure their students' participation in these summer research opportunities as well as recruitment into UCSB's graduate program.

Supervises the statewide UC LEADS Director (who has oversight of all 10 UC campus UC LEADS programs) and provides consultation and support as needed for the statewide UC LEADS program.

Provides oversight of diversity retention programming for incoming and continuing students from traditionally underserved backgrounds. Ensures programming supports graduate student success through academic programming offered through the Graduate Scholars Program that includes mentoring, coursework, academic and professional development, and networking.
