Primary Duties and Responsibilities:
The Financial Aid Quality Assurance (QA) Specialist is responsible for reviewing financial aid documentation to ensure compliance with federal, state, and institutional policies and regulations. This position plays a key role in assisting the Financial Aid Compliance Officer by conducting quality assurance audits, preparing compliance reports, and identifying areas for improvement in financial aid operations. The QA Specialist will focus on reviewing financial aid processes and ensuring accurate, timely documentation, contributing to the overall compliance strategy within the financial aid office.

  • Compliance Monitoring & Review:
  • Conduct regular audits of financial aid files to ensure they are complete, accurate, and in compliance with all relevant regulations.
  • Review financial aid packaging, awarding, and disbursement processes to verify they align with federal, state, and institutional policies.
  • Ensure proper documentation of all Title IV, state, and institutional financial aid records.
  • Quality Assurance & Documentation Review:
  • Assess the accuracy and completeness of financial aid documentation submitted by students, including application forms, supporting materials, and verification documents.
  • Identify discrepancies or compliance issues in financial aid records and report findings to the Associate Director of Compliance.
  • Assist in reviewing financial aid reports and tracking compliance with federal and state guidelines.
  • Reporting & Tracking:
  • Compile and prepare detailed reports on the results of quality assurance reviews and audits.
  • Track compliance issues and document corrective actions taken to resolve discrepancies or non-compliance.
  • Provide regular updates on compliance status to the Associate Director of Compliance.
  • Data Analysis & Evaluation:
  • Analyze financial aid data to identify trends, discrepancies, or areas for improvement in documentation and process adherence.
  • Collaborate with the Associate Director of Compliance to develop solutions for identified issues.
  • Support the evaluation of the effectiveness of current financial aid processes in maintaining compliance and quality.
  • Collaboration & Communication:
  • Work closely with financial aid staff to ensure documentation standards are met.
  • Communicate findings and non-compliance issues to staff and work with them to ensure corrective actions are implemented.
  • Coordinate with other departments such as Registrar to maintain compliance in financial aid documentation.
  • Regulatory Updates & Documentation Changes:
  • Stay current on regulatory changes affecting financial aid and assist with updating documentation practices as needed.
  • Report any changes in regulations to the Associate Director of Compliance and recommend necessary adjustments to internal processes.


  • Qualifications:

    • Education
      • Bachelor's degree in Business, Education, Finance, or a related field required or equivalent experience.
    • Experience
      • Minimum of 2 years of experience in financial aid, compliance, or a related role, with an understanding of federal and state financial aid regulations.
      • Familiarity with financial aid documentation and auditing processes.
      • Experience with financial aid software (such as Ellucian Colleague) preferred.


    Working Conditions:

  • Office environment with high-volume student services.
  • Must not be in default on federal student loans to access Federal Student Aid databases (NSLDS, COD, FAAaccess).
  • This position is subject to a pre-employment background check and drug screen at the College's expense.


  • Hybrid Remote Eligible: Yes

    Hiring Range:
    9 Salary/Starting salary $54,604 based on experience.

    Competitive starting pay is dependent on education and experience.
