Job Description:
45% - Communications & Website Management
Manage, update and maintain divisional website content and various media updates, including faculty bio's
- Scope newsletter monthly reminders to gather content to be shared widely in the medical school and submit to Scope team
- Media/Social media updates (work with stakeholders, leadership to develop content and align with divisional directives, liaise with DOM media team)
- Develop and maintain relevant repositories, document and track changes and requests, forms and policies.

Setting up and hosting various division led hybrid meetings
- Prepare faculty and division meeting agendas
- Set up and tear down of meetings, including technology, troubleshooting, preparation of conference room space, food set up and tear down, ordering and reconciliation.
- Create communications with leadership. Distribute divisional news, updates, requests and events on behalf of leadership

40% Conferences & Events Lead - Initiate and lead IDIM conferences and event projects through development, coordination, communication, improvement and oversight of administrative and operational workflow. Identify and implement continued optimization. (IIRC, Spink, IDIM Appreciation event, Strategic Planning Retreat, Grand Rounds. ETC.)

- Lead event build, logistics and preparation (including 25/26 IIRC build), Annual Spink Lecture, coordinate division Grand Rounds Speakers
- Creation and dissemination of communications regarding meetings, conferences, and events via email, flyers.
- Scheduling speakers for conferences, meetings and seminars
- Ordering food, coordinating venues, AV, speaker reimbursements, honorariums, travel coordination, lodging and accommodations
- Navigate and understand relevant policies, and procedures to ensure fiscal responsibility and budget management.
- Develop and maintain relevant repositories, document and track changes and requests, forms and policies.

5% VVO - Coordinate Volunteers, visitors and observers to division including understanding and navigating FV, UMN, DOM systems, and requirements
- Connect vvo to mentor opportunities, collect and complete paperwork, submit smartsheets and paperwork, communicate and liaise between mentor and vvo.

5% - Other duties as assigned
Provides support to administrative staff and faculty for special projects or tasks, as needed. Cross coverage

Qualifications

All required qualifications must be included in the application materials

Required Qualifications:
High School Diploma/GED or equivalent and five years related experience to include project management. Coursework in a related field may substitute for some years of experience.

Preferred Qualifications:
Experience in healthcare and/or higher education setting

Pay and Benefits

Pay Range: $24.07 - $35.41 per hour; depending on education/qualifications/experience.
