Fleet Administrator

Summary:

The ASPCA is looking for an administrative professional who will provide administrative assistance for all vehicles and drivers. From the Ford Transits that help bring animals to shelters where they can be adopted, to the mobile clinics that provide spay and neuter services within communities, our vehicles and drivers play a critical role in supporting the ASPCA's mission.

The Fleet Administrator will partner closely with ASPCA stakeholders throughout the organization to apply best practice management insuring the life of the asset and safety of drivers. This position will manage vehicle systems and technology, acquisition management, record keeping, administration, and safety training. The long-term goals for this position are to manage, edit, and audit files related to over 100 drivers and vehicles. The Fleet Administrator will ensure drivers and their files are up to date, manage inventory of existing vehicles, and make sure all vehicle information is up to date. Finally, along with People Team, the Fleet Manager ensures driver safety and compliance.

This position requires an individual that has knowledge and experience with organizational skills and various software such as Microsoft Excel and Airtable.

This role is remote, Mon-Fri and hours are either 8-4pm or 9-5pm ET.

Responsibilities:

Responsibilities include but are not limited to:

Fleet Management Program Organization (50%)

  • Regularly update and reconcile list of active drivers with all departments throughout the organization
  • Ensure each driver file is complete and up to date with all required documentation including but not limited to internal acknowledgements, DOT documentation, and up to date licensing.
  • Monitor all upcoming registrations and expirations for driver files, licensing, and vehicle registrations
  • Coordinate with People Team to help organize compliance regarding CDL's, medical cards, and other documentation as required by law.
  • Review Electronic Logging Device logs GPS tracking system, temperature logs and other reports to assist with compliance and provide follow up.
  • Monitor several fleet tracking software's to review department compliance
  • Update and reconcile devices for ASPCA assets
  • Work with departments to establish and ensure regular and preventative maintenance is being performed on all assets
  • Review maintenance schedules and ensure work is being performed in a timely manner
  • Assist with processing and reviewing of all reports submitted to the Fleet department, such as incident, purchase, driver compliance, and safety issues
  • Assist with onboarding of new drivers
  • Review monthly Motor Vehicle Record Reports, report on deficiencies.

Strategy and Administrative (50%)

  • Assist with developing and maintaining metrics to improve fleet program cost effectiveness.
  • Assist with developing best practices policies for improving fleet program that includes asset management, safety protocol, and repairs and maintenance.
  • Assist with maintaining an inventory list of ASPCA vehicles.
  • Assist with insurance, inspections, registration renewals, NYC permits, address change, tickets, and Ezpass.
  • Assist with all Department of Transportation(DOT) filings and reports
  • Develop partnerships and good relationships with key stakeholders in the organization.
  • Assist with creating and improving ASPCA Fleet related documents and protocols.
  • Process invoices and follow up with delivery of new equipment.
  • Support Senior Director of Facilities with fleet projects
  • Support with annual budget and forecasting
  • Support with purchasing and disposal of new vehicles

Qualifications:

  • Demonstrate perseverance when confronted with an obstacle or faced with an unexpected challenge, examining the circumstance and finding a potential solution.
  • Preferred experience with vehicle repairs and maintenance & vehicle operations
  • Proficient in Microsoft word and excel
  • Proficiency in Airtable preferred
  • Strong verbal and written communication skills
  • Ability to multi-task and organize workflow to manage daily responsibilities and prioritize work
  • Strong attention to detail
  • Ability to develop and maintain positive working relationships

Education:

  • Bachelor's degree or equal work experience (preferred)

Travel:

  • Ability and willingness to travel up to 10% of the time is required.

Compensation and Benefits:

The applicable target hiring range for this remote role is based on where the employee works, which for remote roles is the employee's primary location of residence, and its respective cost of labor. We have organized the U.S. varying costs of labor index into three geographic zones. As a point of reference, below, we have included our ASPCA locations by geographic zone to illustrate what the hiring range would be in each of the following areas.

Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring rangeis for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience.The expected hiringsalary ranges for this role are set forth below and may be modified in the future.

  • Zone 1: $27.89-$29.81 hourly
  • Zone 2: $30.77-$32.70 hourly
  • Zone 3: $34.14-$36.06 hourly
