The Admin Specialist Senior will work with a diverse population of faculty, staff, administrators, students and the public following procedural guidelines related to the divisional needs. Essential Functions 35% - Monitors and coordinates college or academic services such as course scheduling and maintenance, media, and word processing with college/district departments and external organizations; orders textbooks and supplies; creates purchase orders and requisitions; tracks expenditures; assists with budget preparation, monitoring and maintenance; prepares and maintains confidential personnel records. 30% - Provides strong customer service and support for and interacts with students, faculty, community members, vendors, and college staff. Acts as first point of contact for the Math, Science, and Engineering department. Receives and responds to inquiries and information requests on faculty schedules and contact information, course offerings, and other campus locations and resources, resolving issues or referring requests to appropriate resource. Supports residential and adjunct faculty by collaborating with faculty and other staff when needed/requested; accesses class rosters and data; orders and delivers supplies to instructors and classrooms; makes copies of course materials. Problem-solves daily to keep division working smoothly. Assists students and faculty with enrollment issues and provides courtesy calls to students regarding scheduling changes. 25% - Provides administrative support to the division; maintains financial and academic records/files; maintains and updates web pages according to established guidelines; maintains master calendar by scheduling appointments, programs, committees, and divisional meetings/events; provides office reception; manages multi line phone system; assists with the planning and implementation of various divisional events/programs and services including intercampus collaborations; supports the division by using technological skills and business systems such as FMS, HCM, SIS, Google Calendar/Drive/Sheets/Slides/Docs, Canvas, reservation system, etc. Participates in the division meetings and prepares agenda and minutes. Directs the work of the Federal Work Study students. Experience working in a fast-paced, public environment while handling multiple tasks that require a strong attention to detail. 10% - Performs other assigned duties, which are commensurate to grade level of position. Minimum Qualifications Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. OR High School Diploma/GED and four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. NOTE: One (1) year of work experience is equivalent to 2,080 hours worked. Therefore, employment must be indicated as full-time or part-time on the resume to determine applicant qualifications. Desired Qualifications A. Customer service experience and organization skills working in a fast-paced educational environment B. Experience with educational systems, such as student information (SIS), human capital management (HCM), financial management (FMS), Canvas, Pro-Card reconciliation and requisitions for ordering supplies C. Proficient in Google Suite and Microsoft Office software or similar systems D. Experience in reviewing and compiling information, forms, and data to verify accuracy, completeness, and consistency while managing confidential records/information E.
