We are seeking a highly organized and proactive Administrative Coordinator to join Gallo's Spirits Division. In this pivotal role, performs a variety of crucial, impactful duties including overseeing business processes, coordinating cross-functional teams, and managing special projects. Plays an integral role for the Spirit of Gallo BU and must be masterful at orchestrating various elements, including relationships with cross-functionals, partners, agencies, etc. Responsible for annual calendar planning and regular Forums, uniting the Business Unit (BU) and their internal and external partners to ensure cohesion across the fiscal year. Manages the calendar of the General Manager (GM) of the BU, while ensuring the day-to-day operations of the GM, Leadership Team (LT) and Business Unit group are planned, coordinated and carried out effectively and completely, ensuring all follow-ups and projects stay on track. Acts as a liaison between the executive team and other employees, fostering collaboration and communication across the organization. Serves as a vital link to ensure smooth everyday operations, and responsible for facilitating the cadence of the organization to keep things running efficiently

What You Will Do:

  • Manages General Manager's calendar, orchestrating their schedule and planning all meetings.
  • Manages calendars of executives within the BU and meeting logistics to include sending invites, securing room, technology arrangements and catering.
  • Acts on behalf of GM to answer and/or facilitate resolution of operational inquiries.
  • Guides cross functionals with advice to enhance overall BU efficiency.
  • Supports coordination between functional and business leaders, to incorporate their interdependencies into the business flow and ensure smooth operations.
  • Owns and coordinates the master annual and monthly cadence of the BU.
  • Screens and prioritizes requests for executive team time.
  • Designs, reviews, and improves an organization's cadence and problem solving any issues that arise.
  • Produces routine reports, presentations and performs administrative tasks.
  • Improves the company's ongoing processes and organizing procedures to ensure optimal efficiency and productivity,
  • Coordinates and manages the Modesto and Dallas virtual office environments to enable BU productivity.
  • Provides recommendations on improvement across the organization and prioritizes incoming inquiries or project requests.
  • Responsible for logistical coordination and execution of events and town halls (both on-site and off-site venues).
  • Supports onboarding of new hires in department, as needed.
  • Coordinating corporate communications into actions for the business unit to ensure and enable compliance and completion.
  • Provides hands-on support to transform ideas into reality.
  • Completes special projects and initiatives with skillful oversight and support.

What You Will Need:

  • High school diploma or state-issued equivalency certificate required plus 3 years of administrative support experience reflecting increasing levels of responsibility.
  • Strong organizational skills, attention to detail and accuracy.
  • Demonstrated ability to manage conflicting priorities simultaneously.
  • Prior experience resolving complex problems.
  • Skilled and adept in the use of MS Outlook, Word, Excel, Teams, and PowerPoint.
  • Strong written and verbal communication skills.
  • Willingness to travel as appropriate to company offices, sites and/or meeting locations for onboarding, training, meetings, events, etc.
  • Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.

What Will Set You Apart:

  • High School diploma or State-issued equivalency certificate plus 5 years of administrative support experience reflecting increasing levels of responsibility; OR Bachelor's degree.
  • Prior experience supporting executives.
  • Experience organizing, prioritizing and meeting deadlines while working on numerous projects.
  • Experience effectively presenting information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Compensation

  • Hiring Salary Range: $29.86- $40.34/hour
  • Actual compensation amount paid may be lower or higher to be determined by factors other than race and gender such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
