JOB SUMMARY:

The Program Associate is responsible for coordinating the program administration of the SAE programming including pre-planning, organization, and on-site activities. The position is also responsible for assisting with technological implementation, registration across the programming portfolio and marketing efforts. Additionally, the role will coordinate with programming volunteers, organizers, students, committees, teachers, faculty advisors and industry representatives to ensure programs run smoothly.

ESSENTIAL FUNCTIONS:

  • Coordinate programs logistics planning, during and post programming including, but not limited to establishing open communications with organizers, volunteers, rules committees, students, consultants, and other partners; managing the materials ordering process; executing materials shipping processes through budgeting focus; and managing post event awards process.
  • Support educational events, and administration on-site as needed.
  • Support development staff to implement technological initiatives including but not limited to: managing internal communications with IT department, assisting with technological advancements in online and on-site registration process, and assisting with application of technological development across programming.
  • Manage the customer data system processes including, but not limited to: administering electronic event setup, managing event waitlists, assisting with customer support, and determining event statistics.
  • Support the implementation of marketing initiatives including, but not limited to: branding structure, event signage, and social media.
  • Contribute to the achievement of SAE's organizational goals through coordination with other business units, including but not limited to; Membership, Marketing, IT and Professional Development; Execute supervisor/self-constructed Personal Development Plan and additional duties/projects as assigned.

OTHER REQUIREMENTS:

  • Bachelor's degree in event planning, business administration, communications, or a related field.
  • Minimum of 2-3 years of experience in event coordination, program logistics, or related roles.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent communication skills (written and verbal) to coordinate with diverse stakeholders such as organizers, volunteers, and students.
  • Ability to work independently and collaboratively in a team environment.
  • Familiarity with customer data management systems (e.g., Jira, Zendesk or similar platforms).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools.
  • Experience with social media platforms for marketing purposes.
  • Flexibility to work outside standard office hours during event periods.
  • Strong problem-solving skills and adaptability to handle unexpected challenges during events.
  • Demonstrated ability to build relationships across teams and with external partners.
PREFERRED QUALIFICATIONS:
  • Prior experience working in educational programming or nonprofit organizations is a plus.
  • Experience implementing technological solutions for event registration or logistics processes.
  • Familiarity with branding strategies and graphic design tools (e.g., Canva, Adobe Creative Suite).
  • Knowledge of social media analytics tools to measure marketing impact.

WORKING CONDITIONS:

  • Standard office environment when not traveling
  • Ability to travel 20% of the time.
  • Ability to work outdoors in diverse climates
  • Ability to lift up to 25lbs
