Essential Job Duties |

Join NC State University's Facilities Division as an
Executive Assistant supporting the Associate Vice Chancellor (
AVC) and the Organizational Strategy Manager. In this dynamic role, you'll be at the heart of a diverse and fast-paced division, serving as the key liaison between leadership and university departments.
You'll play a critical role in keeping priorities on track, coordinating essential communications, managing projects, and supporting ongoing division initiatives. Key responsibilities and duties include, but are not limited to:
- Manage the AVC's calendar, schedule meetings, and coordinate logistics to ensure smooth daily operations
- Design and maintain a database to organize data for key projects and events
- Communicate on behalf of the AVC Office through written and verbal correspondence
Create and distribute a division-wide electronic newsletter using Mailchimp, gathering stories and updates from across departments- Participate in discussions to improve processes and administrative procedures within the division
Implement new workflows and support existing ones in collaboration with administrative assistants across Facilities- Plan and execute special events hosted by the AVC Office, including space reservations, catering, guest coordination, and logistics
- Develop professional communication materials, presentations, and reports to support divisional goals
Organize and maintain electronic and paper files critical to office functions- Update and edit the Facilities website content to ensure accurate and current information
Maintain records and contact databases to support divisional outreach and reporting- Coordinate the routing and approval of documents, including contracts and signature workflows
- Support the Organizational Strategy Manager with assigned projects and division-wide initiatives

Qualifications
Minimum Experience/Education |
High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate's degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor's degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions. |
Other Required Qualifications |
- Effective communication both verbally and written with supervisors and the general public and understand verbal and written instructions and other communications regarding work assignments and other matters
- Experience with office support and/or administration
- Experience using Microsoft Office (Excel, Word, etc) and Google Suite or similar software
- Demonstrated ability to support senior or executive leadership, with responsibility for calendar management, communications, and confidential task coordination.
