CJE SeniorLife is seeking an organized and detail-oriented Data Entry and Board Logistics Specialist. In this role, you will be responsible for maintaining and updating databases, ensuring accurate data entry, and generating reports as needed. Additionally, you will assist in the planning and execution of events for the Board of Directors, including coordinating schedules, maintenance of RSVP lists, preparing materials, and liaising with vendors and participants.

The ideal candidate will possess strong administrative skills, excellent communication and problem-solving abilities; and a proactive approach to managing multiple tasks efficiently.

Compensation: $55,000

Shift

Monday to Friday, 8:30 am to 5:00 pm.

This position is a 100% on site.

Essential Duties and Responsibilities



  • Development (75%)

    • Ensure data quality and accuracy for all agency constituents, including individuals, corporations, and foundations, by processing payments and acknowledgments in a timely manner to support donor recognition and stewardship.
    • Assist the Director of Development and Senior Program Analyst with annual gala tasks, including Ad Book sales, event planning, guest tracking across platforms, and attending committee meetings as needed.
    • Coordinate smaller donor events (e.g., Coast-to-Coast, Donor Recognition), managing guest outreach, reporting, research, and team collaboration.
    • Perform monthly thank-you calls to donors
    • Research and work with Team to implement crowdfunding, peer-to-peer fundraising, and other innovative fundraising tactics.


  • Board Engagement (25%):

    • Coordinate and collaborate with the Manager of Board Engagement on meeting logistics, including:

      • Event Logistics

        • Prepare and distribute event materials, such as agendas, invitations, presentations, and other assorted collateral
        • Provide general administrative support, including scheduling meetings, handling correspondence, and ownership of all RSVP lists
        • Ensure all event details are finalized and executed according to plan efficiently and effectively, including:

          • Reservation and set up of meeting rooms
          • Ordering of all service items, maintaining a consistently updated and accurate inventory list


        • Order, coordinate, and receive delivery of vendor items and catering
        • Own and sustain updated Agency-wide Committee Calendar


      • Long-Term

        • Develop a standardized naming structure and organize documents in SharePoint


      • Other Duties

        • Assist with department-related administrative tasks, including payroll, credit card reconciliation, and expense reporting.


      • Other tasks as assigned.






Requirements



  • Bachelor's degree or 3-5 years related experience in database management, fundraising, and event logistics.


  • Ability to ensure accuracy in documentation, data entry, and communications with strong attention to detail
  • Proactively identifies and resolves challenges using effective problem-solving skills.
  • Builds positive relationships and rapport with colleagues, board members, donors, and stakeholders through strong interpersonal skills.
  • Demonstrates confidence in skills and abilities.
  • Manages time effectively to meet deadlines without compromising quality.
  • Proficiency in Microsoft Office Suite required.

    • Experience with Raiser's Edge or similar donor management software preferred.


  • Be comfortable learning and using new technology.
