POSITION SUMMARY:

The Administrative Assistant provides vital support to the regional property management team by handling a variety of administrative, organizational, and customer service tasks. This role is responsible for ensuring smooth daily operations through effective communication, scheduling, reporting, and coordination with internal teams and external stakeholders. The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities in a fast-paced environment. From onboarding new team members to assisting with resident concerns and planning regional events, this position plays a key role in keeping our team organized, informed, and supported.

ESSENTIAL FUNCTIONS:



  1. Performs general office duties including filing, ordering office supplies, coordinating weekly mailings to site teams, and maintaining organized records.
  2. Creates, maintains, and distributes reporting tools such as monthly report tracking, physical/economic occupancy reports, unit availability updates, and weekly operational call summaries.
  3. Assists with onboarding new team members by scheduling training, preparing materials, setting up system access, and supporting a positive new hire experience.
  4. Coordinates resident relocations as needed, including communication with site teams, tracking progress, and ensuring a smooth transition for residents.
  5. Responds to resident complaints and requests by answering calls, managing survey responses, and working with site teams to resolve issues or escalate as appropriate.
  6. Provides customer service support by answering calls from vendors, residents, and site staff; taking messages; and directing inquiries to appropriate personnel.
  7. Drafts and distributes professional correspondence including memos, report reminders, status updates, response letters to owners/investors, Workfront follow-ups, and corporate communications as directed.
  8. Attends operational calls and meetings to take detailed notes, document action items, and distribute meeting summaries to key stakeholders.
  9. Coordinates scheduling and calendar management for regional leaders, including booking travel, arranging meetings, and managing event logistics.
  10. Provides event planning support for work events and regional meetings, including selecting themes, ordering supplies, drafting communications, and assembling meeting packets.
  11. Assists with system support and troubleshooting, including helping resolve Yardi issues, investigating system discrepancies, and providing training and guidance in alignment with company policies.
  12. Supports document management processes such as maintaining electronic filing systems, organizing shared drive content, and assisting with data entry and audit preparation.
  13. Additional duties as assigned


QUALIFICATIONS:



  • High School diploma or equivalent with 2+ years of administrative experience
  • Excellent written and verbal communication skills required
  • Ability to communicate professionally with all levels of the organization
  • Comfortable handling sensitive information with discretion and professionalism
  • Highly proficient in Microsoft Office and Outlook; Yardi proficiency preferred
  • High attention to detail
