As part of the Land Grant University, the Department of Entomology and Plant Pathology is composed of over 40 faculty that direct a diverse portfolio of programs in teaching, research and extension components. Essential Job Duties |
The Graduate Services Coordinator will support the graduate programs in Entomology and Plant Pathology, along with our undergraduate minor in Entomology. You'll work closely with the Directors of Graduate and Undergraduate Programs, serving as a key resource for students from the moment they apply to the day they graduate. This role is all about helping students succeed-making sure they have the information, guidance, and support they need every step of the way.
Key Responsibilities:
- Help students navigate onboarding, registration, academic progress, graduation, and residency requirements.
- Serve as the go-to contact for current and prospective students, offering clear, timely guidance on policies and procedures.
- Track student milestones and maintain accurate records, including alumni updates and post-graduation data.
- Coordinate with program directors on recruitment efforts and student support.
- Process admissions, monitor course loads, and make sure students stay on track to meet deadlines.
- Manage course scheduling, evaluations, TRACS entries, and course action forms.
- Support undergraduate research and hands-on learning experiences.
- Collaborate with campus partners including the Graduate School, Registration and Records, and the Cashier's Office.
- Serve as the Department Scheduling Officer and pitch in on other administrative needs.
- Occasionally travel off-site and be able to get from place to place independently.

Other Responsibilities |
In addition to the core responsibilities, this role offers the chance to expand your experience and grow professionally by contributing to a variety of departmental operations. These additional duties provide a broader view of how the department functions and allow you to build new skills along the way:
- Support approximately 100 graduate students across two disciplines from recruitment through graduation.
- Coordinate student events such as DEPP Orientation, the Graduate Student Symposium, and graduation celebrations.
- Handle financial tasks like ServiceNow requests, invoice processing, and P-card reconciliations.
- Schedule classrooms for departmental courses.

Qualifications
Minimum Experience/Education |
Bachelor's degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions. |
Other Required Qualifications |
- Computer Proficiency using Microsoft Word, Excel, PowerPoint, Adobe Acrobat, and Peoplesoft or similar software.
- Experience using at least one of the following: Students Information Systems (SIS), Infoweb, NextGen, or similar software programs.
- Experience using spreadsheets, formulas and database management.
- Strong Internet and email skills.
- Must be self-initiating, detail oriented, and the ability to multitask effectively.
- Ability to create an organizational system of working including files and calendaring to ensure tasks are completed accurately and in a timely manner.

Preferred Qualifications |
- Experience in an administrative role as well as working with students.
- Proficiency with Students Information Systems (SIS), Infoweb, NextGen, and Peoplesoft or similar software.
- Experience with website maintenance.
- Thorough knowledge, understanding, and interpretation of the Graduate School's policies and procedures relating to students and instructors.
