Summary

This position supports and facilitates the administration of all Equipment and Attachment Sales for the Construction Division. Responsible for insuring accurate invoicing, claims processing, equipment transfers and documentation of all Construction Sales transactions.

Essential Functions

  • Invoices all machine sales for Construction Division
  • Receives new and used equipment into Dealer Business System and SalesLink
  • Matches acknowledgements to orders and updates shipping status
  • Produces documentations for Sales Reps (credit rents, sales analysis and back out/re-bills)
  • Creates pro-forma invoices and releases final invoices
  • Updates accounts payable with new machine information (book value, setup payment to CAT)
  • Enters accounting adjustments in Dealer Business System at time of invoice
  • Submits claims thru Cat Commercial Systems
  • Adheres to the Customer Order to Invoice checklist
  • Files Dealer Transaction Register report and submits post sales variance claims to Caterpillar
  • Manages merchandise variance accounts and reports monthly balance to mgt.
  • Reconciles merchandising claims on quarterly basis
  • Receives and reconciles merchandising credits
  • Supplies information for quarterly merchandising audits
  • Assists Hispanic Contractor Market Segment Manager with various duties as assigned
  • Other duties as assigned.

Qualifications

Education and/or Experience

  • High School graduate or equivalent. College degree preferred but not required
  • Must have three to five years administration experience
  • Bi-lingual (English and Spanish) capabilities
  • Must have attention to detail and organized.
  • Must establish and maintain positive relationships with Caterpillar
  • Must have strong sense of urgency
  • Must work independently and be self-starter.
  • Above average computer skills, including experience in Microsoft Office and common CRM suites
  • Must exhibit a Team Player approach to the Sales team
  • Strong verbal skills

Computer Skills

  • Strong working knowledge of MS Office products (MSWord, EXCEL, etc.)
  • Sales/customer database experience

Language Skills

  • Excellent communication skills including verbal, non-verbal, written and listening skills
  • Bi-Lingual (English and Spanish)

Mathematical Skills

Excellent math skills are required
