The George Washington University's Business & Auxiliary Services (
BAS) department manages a diverse portfolio of essential services that support the needs of the University's community. The
BAS department supports the institution's overall strategic mission and enhances the student experience by providing convenient, user-friendly, customer-service-focused goods and services, including Mail & Package Services, GW Campus Stores, Licensing & Trademarks, Snack & Beverage Vending Services, Student Laundry, the UPass Program, and Parking Services.
The purpose of this role at the university is to provide coordination and program management on behalf of Business and Auxiliary Services. This role will serve as a point of contact for the program, will answer program questions from faculty, staff, students, and external community members, and will provide functional support for the program administration. Functional support could include answering most inquiries, managing web presence and marketing efforts, drafting program materials, planning and executing events, tracking spending and processing payments, preparing and analyzing reports, and similar duties. This position may make recommendations to policy and procedure and will be tasked with outreach to other GW stakeholders in order to assist in maintaining and enhancing standard operational efficiencies. Typical duties are often administrative in nature and can include tasks that are under the general or limited supervision of more senior personnel within the department or program.
Reporting to the Director of Auxiliary Services, the Business Services Associate will be responsible for the stakeholder experience and for partnering with the Department Manager on initiatives to pursue continuous process improvement.
Specific responsibilities include:
Customer Service Coordination: Manage customer service inquiries, respond to emails, calls, and complaints to ensure timely resolution and customer satisfaction.
Student Engagement & Events: Coordinate initiatives and events that enhance the reputation of Business and Auxiliary Services among students.
Staff Management: Supervise the department's Graduate Assistant.
Communications & Outreach: Collaborate with university departments to develop and distribute customer communications, including signage, email broadcasts, and newsletters.
Licensing and Trademark Support: Assist in licensing and trademark activities, including artwork approvals, licensee management, marketing, and promotions for GW merchandise and the GW Campus Store.
UPass Program Management:
- Oversee program operations, including activation and deactivation processes.
- Maintain accurate records and ensure data integrity.
- Analyze and develop data-driven insights to enhance program efficiency.
- Generate reports to support program improvements.
- Supervise student staff during UPass distribution (fall and spring semesters).
Program Development & Process Improvement:
- Maintain and update Business Services websites.
- Assist in establishing key performance indicators (KPIs) and service level standards based on customer service data.
- Measure KPIs, generate reports, and provide executive summaries to leadership and stakeholders.
- Identify areas for improvement and support process enhancement initiatives.
- Develop and update policies and standard operating procedures (SOPs) for service areas.
- Manage inventory, ordering, stocking, and maintenance of two emergency contraceptive vending machines to ensure continuous availability and proper functionality.
Vendor & Contract Management
- Review service contracts to identify compliance issues and recommend corrective actions
- Assist with major departmental projects, including contract requests for proposals (RFPs), solicitations, and enhancements to UPass program offerings.
- Perform quality check visits on campus for vending, mail, and package services, and other vendors.
Performs other related duties as assigned including providing cross team training and learning/performing backup tasks for finance team member when needed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. |
Minimum Qualifications: |
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

Preferred Qualifications: |
- Bachelor's degree in business administration, communications, marketing, or a related field, preferred.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and database management tools is desired.
- Ability to analyze data, generate insights, and develop process improvements is preferred.
- Excellent verbal and written communication skills, with the ability to craft clear and professional emails and reports that convey a professional tone.
- Familiarity with contract management, vendor relationships, and compliance monitoring is desired.
