We look forward to hearing from you! *Pay: *$24.50-26/hr *Work Environment:* * On-site within Downtown Seattle off of Pike St. * Working hours: 8:30 am - 5:00 pm. * 3-Month Contract - Possibility of Extension *Application Process:* * The first round of interviews will be held on May 7, 2025. * The expected start date is May 19, 2025. *Position Summary:* As an Administrative Assistant, you will perform a variety of administrative and clerical tasks, financial and human resources administration, and provide professional support to one or more Managers and their direct reports. You will ensure all administrative and operational processes and control standards are followed, while seeking to determine, develop, and participate in the implementation of improvement opportunities, contributing to the effective and efficient operation of the business group. *Key Responsibilities:* * Lead the planning, coordinating, and implementing of department events. * Provide administrative and operational support within a large, diverse team including one or more executives. * Employ systems (e.g., customized exception reports, tracking reports) to manage information. * Integrate information from multiple sources to enable more efficient processes, enhanced analysis, and streamlined reporting. * Provide input into the planning and implementation of administrative programs. * Build effective relationships with internal and external stakeholders. * Gather and format data into regular and ad-hoc reports and dashboards. * Coordinate and monitor budgets and report on results vs. budget. * Provide coaching and mentoring to more junior administrative assistants. * Manage and monitor calendars and upcoming events, dispatch meeting invitations, book meeting rooms, and arrange for resources. * Develop and maintain a filing system; ensure business and operational reports, forms, and other documentation are readily available. * Support the development of tailored messaging, including writing, editing, and distributing communications. * Dispatch outgoing communications and answer central phone lines. * Process invoices for payment and prepare and log departmental expense claims and reports. * Make travel arrangements, booking flight/hotel reservations as needed. * Liaise with internal business units and external vendors for premises and building-related matters. * Maintain supplies inventory and track overtime, on-call claims, staff vacations, and absences. * Coordinate training requirements for staff. * Think creatively and propose new solutions. *Must-Have Qualifications:* * 2-4 years of administrative support experience. * Bachelor's degree. * Proficiency in Excel (pivot tables and graphs). * Experience in tracking expenses, calendar management, Outlook, reporting, and making travel arrangements. *Preferred Qualifications:* * Administrative experience in a financial services company. *Additional Skills:* * Strong verbal and written communication skills. * Excellent collaboration and team skills. * Analytical and problem-solving abilities. * Attention to detail and organizational skills.
