Job Summary

The Senior Coordinator, Special Events is an integral part of the Denver Health Foundation team and is responsible for executing multiple pre-existing fundraising and non-fundraising events as well new events ranging from 10 people to 2,000 people. Reporting to the Sr. Director of Philanthropy, this position is responsible for assisting the DH Foundation team in maximizing its fundraising and donor stewardship effectiveness through organizing outstanding and unforgettable events.

Essential Functions:

  • Event Planning
    * Collaborate with marketing and fundraising teams to identify requirements and expectations for each event.
    * Plan and organize events in alignment with events strategies developed by marketing and fundraising and in accordance with financial and time restraints; plan event details and aspects, including seating, dining, entertainment, photography, and after-party, as event requires.
    * Establish and maintain relationships with vendors and venues; be knowledgeable of the Foundation's requirements to pay vendors and ensure event contracts adhere to those requirements.
    * Research appropriate venues and book after approval by supervisor and Executive Director.
    * Research and negotiate with event vendors; employ event vendors following approvals by supervisor and Executive Director; once contracts are executed; act as the point of contact and manage event vendor partnership.

  • Event Project Management
    * Work with supervisor to develop event budgets and monitor income and expenditures for each event.
    * Organize and develop event timelines and task lists. Monitor and track progress of tasks against timelines to ensure completion on or before assigned due dates.
    * Create events within event software; website, ticket purchasing, and coordinate other communication to the community with the Foundation's Communications team.
    * Handle and oversee all event activities, including addressing potential problems that may arise; coordinate all event set-up, tear down, and follow-up processes.
    * Recruit, coordinate, train, and supervise event volunteers.

  • Administrative
    * Assist in recruitment of event planning committees including, but not limited to managing communication to members, setting up meetings, drafting meeting agendas, capturing meeting notes, and reporting out meeting outcomes and assignments.
    * Assess overall success of events, submit findings, and report out to the Foundation team.
    * Ensure sponsor recognition at event matches the fundraising team's sponsorship-level packages.
    * Offer creative ideas on how to improve existing events, generate additional revenue, and/or ideas for new event opportunities.

Education:

  • Bachelor's Degree in a relative field: marketing, hospitality management, public relations or similar required.

Work Experience:

  • Three to five years of event management experience required.

Knowledge, Skills and Abilities:

  • Understanding of events and how they work; portfolio of successful events.
  • Highly motivated, personable, articulate, and diplomatic.
  • Well-organized, detail oriented, with excellent multi-tasking abilities; ability to handle several projects simultaneously, prioritize, and work under pressure.
  • Ability to manage and meet deadlines and respond to multiple demands; able and willing to take responsibility for, and to set and achieve, goals.
  • Critical thinker with problem-solving skills.
  • Discretion handling sensitive and confidential information.
  • Self-starter, self-motivated, and a team player.
  • Solid writing, editing, and presentation skills.
  • Ability to motivate individuals and groups.
  • Proficient in use of Microsoft Office Suite.
  • General exposure to Raiser's Edge and Foundation's event software, or similar software, a plus.
