ABOUT THE JOB

JPI has an exciting opportunity for an AR/AP Analyst to join our Services team located in Dallas, TX.

The ideal candidate will be responsible for managing all aspects of the accounts payable and receivable process, ensuring accuracy, efficiency, and adherence to company policies and procedures. This role will involve processing invoices, reconciling accounts, maintaining vendor records, handling payment inquiries, and managing customer invoices and collections. The Accounts Payable and Receivable Specialist will play a vital role in maintaining the financial health of the organization by ensuring timely and accurate payment and receipt of funds.

ACCOUNTS PAYABLE:

  • *Support accurate and timely processing of accounts payable, including invoice entry, reversals, purchase order matching (3-way matching), proper coding, and approval routing.

  • *Monitor purchase orders and receipts to ensure compliance with company policies; troubleshoot and resolve discrepancies.

  • *Investigate matching exceptions by working with vendors, internal departments, and stakeholders.

  • *Reconcile vendor statements and resolve discrepancies promptly.

  • *Partner with third-party invoice processing and check printing agency to troubleshoot issues and drive process improvements.

  • *Oversee and manage the AP email inbox and AP tasks assigned to the OHI team; implement improvements as needed.

  • *Provide training and support to associates on the procure-to-pay process, including onboarding new procurement card (p-card) users.

  • *Track and verify procurement card transactions; coordinate with cardholders and Treasury to ensure accuracy and timeliness.

  • *Act as the first approver for overhead expense reports and final approver for new supplier setups and changes.

  • *Review and process expense reports weekly; confirm coding before submission to Treasury.

  • *Generate and distribute weekly open AP reports; review with Accounting for approval.

  • *Reconcile AP subledger to the general ledger in coordination with the OHI team.

  • *Continuously evaluate AP systems and processes to identify and implement best practices, automation, and internal controls.

  • *Prepare regular performance reports (e.g., invoice processing times, exception rates, vendor cycles) and provide actionable insights.

ACCOUNTS RECEIVABLE:

  • *Maintain and distribute intercompany billbacks and customer invoices; follow up on aging AR items and track collection status.

  • *Reconcile accounts receivable balances; investigate and resolve discrepancies.

  • *Provide support to ensure Intercompany and Intracompany balances are reconciled and eliminated.

GENERAL ACCOUNTING & REPORTING:

  • Perform bank reconciliations for assigned companies and support general ledger tie-outs.

  • Record and reconcile depreciation/amortization entries; maintain alignment with the general ledger.

  • Maintain lease schedules; prepare journal entries for lease expense recognition and confirm balance sheet accuracy.

  • Prepare leasing invoice payments monthly.

  • Assist with research related to expenses, coding issues, and support ad hoc finance projects and tasks.

Education, Work Experience, and Physical Requirements

  • Bachelor's degree, preferably in Business, Accounting, or Finance is preferred.
  • Proven experience in accounts payable and receivable, with a strong understanding of accounting principles and practices is required.
  • Proficiency in accounting software (e.g., Workday) and Microsoft Suite (e.g., Word, Outlook, and Excel).
  • Excellent attention to detail and accuracy in data entry and record-keeping.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Effective communication and interpersonal skills, with the ability to interact professionally with vendors, customers, and colleagues.
  • Knowledge of relevant laws, regulations, and compliance requirements related to accounts payable and receivable.
