Overview
The Administrative Assistant will be responsible for providing support to the Vice President of the Division of Strategic Enrollment Management (SEM) and the Executive Leadership Team. The successful applicant will be friendly and enjoy working with teams, detail-oriented, self-motivated, organized, and able to work in a fast-paced office as a selfless team member.

Responsibilities
  • Screens inquiries and requests; uses judgement and tact to prioritize schedules, calendars, and meetings of SEM Executive Leadership Team.
  • Responsible for managing the flow of work within the office, ensuring that tasks are prioritized appropriately, and deadlines are met. This may involve coordinating schedules, delegating responsibilities, and resolving any issues that arise.
  • Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
  • Performs office duties, including answering phones, greeting visitors, directing calls to appropriate parties, data entry, digital and paper filing, calendar management, and other general duties as assigned.
  • Project lead or assistant on special projects.
  • Hires, trains and supervises other office personnel.
  • Support Leadership Team with business services functions (booking travel, attaching receipts, etc.)
  • Weekly meetings with various office teams (ex. Recruitment, Admissions, Student Financial Support, etc.)
  • Track and order office supplies for the SEM Division
  • Maintenance, inventory and ordering of office equipment (ex. Technology, furniture, printers, etc.)
  • Liaison across functional teams to serve prospective students and SEM Division staff
  • Plans and executes events for SEM Division staff, including professional development, retreats, activities, etc
  • Performs miscellaneous job-related duties as assigned.


Qualifications
Minimum Qualification:
  • Vocational or technical training/Associate's degree in an office or business field plus a minimum of four years of related experience; or a Bachelor's degree in a related field plus two of experience; or six years of experience is required.

Knowledge, Skills and Abilities:
  • Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
