In support of these missions and values, the Elliott School's Graduate Student Services ( GSS) team is seeking a highly organized Administrative Associate to manage daily office operations, provide enhanced administrative support, and handle event logistics. As the first point of contact for GSS, you'll create a welcoming, professional atmosphere while supporting academic advising, career development, and international education services. This role is perfect for a highly organized and proactive problem-solver who thrives in academic settings, enjoys event coordination, and excels at customer service. You'll work closely with advisors, career coaches, and leadership to ensure seamless operations and meaningful student engagement-making a daily impact in a dynamic, mission-driven environment.

Reporting to the Director, GSS, the Administrative Associate will support the services for students and alumni preparing for careers in international affairs by:

  • Overseeing GSS reception, scheduling, daily operations, and supervising student assistants.
  • Providing friendly and efficient customer service to students, staff, alumni, employers, and visitors.
  • Supporting marketing and communications (email campaigns, newsletters, social media, website updates).
  • Processing payments, travel reimbursements, and purchases.
  • Assisting with student programs, orientation, employer and networking events.
  • Maintaining student records and supporting international student processes.
  • Continuously improving administrative processes, ensuring precise recordkeeping, and adjusting priorities as needed to enhance efficiency and service delivery.
  • Effectively using standard technology to streamline office and business operations, including tools like Google Workspace, Microsoft 365, Box, and Adobe Acrobat.
  • Compile statistical data for reports and assist with surveys.
  • Eager to learn and able to use platforms such as Salesforce, Tableau, Canva, university travel/procurement systems, and academic databases like Banner. Help train students and staff on these systems as needed.


Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

This is a hybrid position with some days remote and some days on-campus in Washington, DC.
Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

The ideal GSS team member will have:

  • Strong interest in and experience with customer service, social media and communications, office support, and event planning logistics are highly desirable.
  • Exceptional organizational, time management, multi-tasking, and proactive problem-solving skills.
  • Proficiency in Microsoft 365 Google Workspace, Adobe Acrobat, and graphic design software such as Canva, Adobe Express.
  • Experience with or willingness to learn Salesforce, Handshake, Banner, Emma Marketing, Tableau.
  • Experience working in a university environment including direct communication with students, faculty, and staff.
  • Strong interpersonal skills, including verbal, written, and phone communication.
  • Strong interest in supervising a team of student workers. Some supervisory/team lead experience, leadership or related training is highly desired.
  • Proficiency in cross-cultural communication and working in a team environment.
  • Bachelor's Degree preferred.

Hiring Range $26.17 - $34.04
