Summary

Perform advanced administrative duties requiring a good working knowledge of CAE's operations and a detailed knowledge of the ISD Department. Provides overall support to the ISD Manager and department.

Essential Duties and Responsibilities

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Coordinates with ISD and Configuration and Data Management (C&DM) to prepare and track Training System Change Orders (TSCOs).

  • Performs quality control of TSCO courseware prior to release through established processes.

  • Maintains and updates TSSC databases to track courseware projects including FCIFs, critiques, Quality Change Proposal Requests (QACPs), and other project related data.

  • Prepares monthly agendas, PowerPoint presentations, and extracts data for ICCB/ TSCWG and other meetings as needed.

  • Coordinates and attends monthly ICCB/TSCWG meetings.

  • Coordinates office operations and procedures such as information management, filing systems, supplies, and other administrative services.

  • Composes and prepares meeting minutes, correspondence, reports, and other complex documents.

  • Collects, records, compiles, verifies, tracks and analyzes data and information from multiple sources.

  • Conducts periodic audits of baseline courseware on Learning Management Systems.

  • Coordinates with ISD staff and TMS to schedule Subject Matter Expert (SME) reviews of courseware projects.

  • Maintains and updates SharePoint lists and document libraries to assist in project management.

  • Assists ISD team to proofread and edit material for courseware, ISD documents, and related technical and administrative documents as necessary.

  • Accurately and efficiently performs all duties with minimal supervision to meet standards for cost, schedule, and quality.

  • Other duties as assigned

Qualifications and Education Requirements

  • High School diploma or equivalent; 2-year degree in administrative field preferred.5-7 years administrative/secretarial experience, with 3-5 years at an advanced executive level

  • Must be proficient in Microsoft Excel, PowerPoint, Access, and Word.

  • Must be able to effectively deliver oral presentations to management and customers

  • Must display excellent written skills

  • Must be able to work independently, with minimal supervision

  • Must be able to work overtime as required.

  • Must be willing to work any shift or day of the week as required.

  • Understanding of military protocols and customs is essential

  • Incumbent must be eligible for DoD Personal Security Clearance.

  • Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.

Security Responsibilities

Must complywith all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.

  • Incumbent must be eligible for DoD Personal Security Clearance.

Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.

Work Environment

  • Work in a regular office environment; communicate via personal computer, telephone and fax.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must be able to walk and/or climb stairs and ladder into a simulator or airplane cockpit.

  • Must be able to detect odors or hear noises, bangs, etc., or other sounds to detect problems or flaws in the functioning of simulators and its surrounding environment.
