*Work Environment* This role requires working at a desk in a professional corporate office environment. The dress code is professional. The position is in-office only, with working hours from Monday to Friday, either 8:00am to 5:00pm with a 1-hour lunch break, or 8:30am to 5:30pm. *Qualifications*
* Minimum of 3+ years of professional administrative assistance or corporate receptionist experience. * Proficiency in Microsoft Office Suite, including Microsoft Excel. * Experience in administrative roles. * Bachelor's or Associate's Degree (preferred). * Bilingual in Spanish (nice have). * Strong professional reading, writing, and verbal skills. * Outgoing and organized personality. * Detail-oriented. Responsibilities * Answer incoming calls to the main line and direct to appropriate extensions. * Greet visitors professionally and follow all protocols related to the Visitors Policy, including sign-in procedures, photo ID requests, and issuing Visitor badges. * Provide assistance to Executive team and take on projects as needed. * Update mailboxes as required. * Manage order fulfillment processes for flavors, fragrances, and aroma chemicals by assisting customers, taking orders, and expediting when requested. * Follow up on order status, backorder expediting, shipping discrepancies, and missing documents. * Provide quality service while continuously striving for improvement and consistency. * File and organize sales orders, invoices, and customer correspondence as needed. * Perform data entry tasks. * Engage extensively with all levels of management, sales staff, other departments, and customers. * Be available upon special request for specific customer visits as a representative of the company. Pay and Benefits The pay range for this position is $22.00 - $24.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
