Summary: The Client Services Specialist is responsible for delivering exceptional service to attorneys, staff, visitors, and others utilizing conference center resources. Key duties include managing all aspects of conference room scheduling through the Event Management Software System (EMS), such as booking, confirming reservations, coordinating meeting setups, arranging catering services, and continuously monitoring room availability. This role ensures timely and accurate communication among all parties involved in supporting conference center operations. Sound judgment and prior experience are essential in assisting stakeholders with the planning and execution of meetings.

Qualifications:

  • Proven background in client services with strong organizational skills, attention to detail, and a proactive approach to tasks.

  • Ability to thrive in a fast-paced, high-volume environment by demonstrating effective time management and the capacity to multitask efficiently.

  • Outstanding verbal and written communication skills, with a strong focus on interpersonal communication and active listening to identify issues and offer practical solutions.

  • Proficient in basic document management and experienced with Microsoft Office applications, including:

    • Word: Creating and editing documents

    • Excel: Developing or modifying basic spreadsheets

    • PowerPoint: Editing and loading presentations for meetings

  • Familiarity with audio-visual equipment and ability to perform basic setup of microphones and related technology for meetings.

  • Capable of operating and troubleshooting standard office equipment such as copiers and printers.

  • Previous front desk or reception experience in a professional or legal environment is preferred.

  • Willingness and ability to learn and effectively use the Event Management Software System (EMS).

  • Flexible and dependable, with the ability to work alternative shifts and contribute to overtime coverage during weekdays, weekends, holidays, and special events as needed.

  • Able to collaborate and maintain positive working relationships with colleagues and departments that support conference center operations, including Catering, Office Services, and IT Support.

  • Daily use of an in-ear communication device is required.
